🔗 How to Manually Send a Forms Link to a Patient

✅ Set Up Your Forms Link First 🌐

  1. Go to your website where the form is published.
    This is usually your New Patient Paperwork or intake form page.

  2. Copy the full URL of the form from your browser’s address bar.
    Example: https://mysite.com/new-patient-paperwork/


✅ Create a Saved Message with the Form Link 💾

  1. In Aloha, go to Contacts > Saved Message

  2. Click Add in the top right corner

  3. Choose either:

    • Saved Reply (for text)

    • Saved Email (for email)

  4. Write your message—something like:
    “Hi! Here’s the link to your new patient forms. Please fill them out before your visit.”

  5. Paste your copied form link into the message.

  6. Add the verification token to the end of the URL:

    • Place your cursor right after the link

    • In the Replacement String section, select:

      • Contact

      • Then Verification Token

    • Click Insert

  1. Click Save to store your saved message for future use.


✅ Send the Forms Link to a Patient ✉️

Now you're ready to send the link manually:

  1. Go to Contacts > Conversations

  2. Search for the patient’s name in the text box and select them

  3. Click the pencil icon ✏️ to the left of the message input field

  4. Select the saved message you just created

  5. Click Send

🎉 That’s it! The patient now has a personalized, secure link to their forms.
