✨ When You Need This Guide

  • You want to send a PDF, newsletter, or flyer to your patients.

  • You need to include a document or video in a bulk message.

  • You are wondering how to attach a file to a text or email.

  • You want to embed a video but aren't sure if it will play correctly.

What This Covers (And What It Doesn't):

  • Covers: Using links to share documents and creative workarounds for sending videos in emails.

  • Doesn't Cover: Directly uploading a file from your computer as a "paperclip" attachment within the message editor.

Prerequisites/You'll Need:

  • A hosted version of your file (on your website or Google Drive).

  • A screenshot or thumbnail image of your video (for video sharing).

✅ How to Share a File or Video

Because direct file attachments aren’t supported in Aloha, you’ll upload your content to a host and send a clickable link. This keeps your messages fast and professional!

Option 1: Share a Document (PDF, Flyer, or Image)

  1. Upload the file to a public space like your website or Google Drive.

  2. Ensure sharing permissions are set to "Anyone with the link can view" so your contacts can actually see it.

  3. Copy the URL (the web address) for that specific file.

  4. Paste the link into your Aloha text message or attach it to a button in your email editor.

Option 2: Share a Video (The "Image-Link" Workaround)

Most email providers (like Gmail or Outlook) block embedded video code for security. While you can use the HTML feature to embed code, email providers will often strip it out, leaving behind only a video link.

To ensure your video "plays" for everyone and matches your vision, follow these steps:

  1. Take a screenshot of a frame from your video. It helps if the image has a "Click Here To Watch" banner or a Play Button on it so people know to click!

  2. Insert the image into your Aloha email template.

  3. Hyperlink the image by clicking on it and adding the URL to your video (hosted on YouTube, Vimeo, or a site visible to anyone with the link).

  4. When the user clicks the picture, it will instantly open the video in their browser.

💡 Common Questions

What You Might Notice

Why It's Happening

What to Do

Recipients say they "need permission" to see a file.

Your Google Drive settings are likely set to "Restricted."

Change the file settings to "Anyone with the link" and resend.

The video doesn't play directly inside the email.

Most email apps (Gmail/Outlook) strip out video code for security.

Use the "Image-Link" workaround mentioned above.

My text messages are not sending.

You might be using a public URL shortener (Bitly/TinyURL), which 10DLC rules discourage.

Use the full URL from your own domain or a trusted source like Google Drive.

🎉 You'll Know It's Working When:

  • The message sends successfully without being flagged as spam.

  • The link or video thumbnail is clickable and opens the correct content.

  • Patients can view or download your materials without login errors.

  • You see an increase in website traffic from your shared links.
