Sending pictures to your patients makes your messages feel more personal and professional! Whether you're sharing an office flyer or checking a photo a patient sent over, this guide shows you how to manage visuals within ALOHA.

โœจ When You Need This Guide

  • You want to send a photo, flyer, or scanned document to a patient via text.

  • You aren't sure how to open or enlarge an image a patient sent to you.

  • You're wondering, "How do I attach an event image?" or "How do I view patient photos?"

  • You want to make your communication more visual with referral sheets or celebration graphics.

What This Covers (And What It Doesn't)

  • โœ… This guide covers uploading new images, using your image library, and viewing received photos in the conversation thread.

  • โŒ This guide does not cover editing images or sending bulk image messages to your entire contact list at once.

Prerequisites / You'll Need

  • An active ALOHA account.

  • The image file (like a .jpg or .png) saved on your computer.

โœ… How to Send an Image

Sharing a visual is just as easy as sending a text. Follow these steps to get your message out:

  1. Navigate to the CONTACTS tab and select the CONVERSATIONS page.

  2. Locate the patient by using the Search bar to find their name or phone number.

  3. Click the picture icon ๐Ÿ–ผ๏ธ located next to the text field in the New Message box at the bottom of the screen.

  4. Select your image by either picking a file from your previously uploaded library or clicking + Add Image in the top right to upload a brand-new file from your computer.

  5. Type a message (optional) to give the image some context, then click Send Now.

โœ… How to View Patient Images

When a patient sends you a photo, you can easily blow it up to see the details.

  1. Go to the CONTACTS > CONVERSATIONS area.

  2. Find the conversation by searching for the patient or selecting their name from your active list.

  3. Click on the image icon next to the text field in the New Message box at the bottom.

  4. Choose your source by selecting one of two options:

    • Use a previously uploaded image from the library.

    • Or click + Add Image (top right) to upload a new one from your computer.

  5. Add a message to explain the photo, then click "Send Now or Send Later."

What You Might Notice

Why It's Happening

What to Do

The image looks tiny in the chat.

ALOHA uses small previews to keep the chat history organized.

Click the image directly to open it in a large pop-up view.

I can't find a photo I used before.

It might not have been saved to the library yet.

If it's not in your library, use the + Add Image button to upload it again.

You need to save an image (like an insurance card) but don't see a "Save" button.

There isn't a direct "Save Image" button within the platform.

Right-click on the image and select Save As to download it to your computer. Then, you can upload it to your EHR!

๐ŸŽ‰ You'll Know It Worked When:

  • The image appears in the conversation feed after sending.

  • Patients can respond to the message with a confirmation or reaction.

  • Clicking on a photo enlarges it in a pop-up view so itโ€™s easy to read.

  • You feel confident sending anything from x-rays to birthday flyers! ๐ŸŽˆ
