What are Lookup Fields, and How do you use them?

What Are Lookup Fields?

Lookup fields enable users to connect data between a Primary Object and a Secondary Object by copying relevant information when specific conditions are met. This functionality supports the creation of multiple lookups, allowing complex data relationships across objects or channels.

By using lookup fields, users can ensure that key performance indicators (KPIs) are accurately transferred and updated, facilitating consistent data management and analysis. These fields are especially helpful in maintaining the relevance of data across different parts of the platform.

How to Create Lookup Fields in the Integrations Module

To create Lookup Fields, go to the Integrations module.

Step 1: Name Your Lookup

Give your lookup field a descriptive name to reflect its purpose.

Step 2: Add a Description

Write a brief description explaining the purpose and intended use of the lookup.

Step 3: Set Up Data Mapping

  • Primary Channel: Choose the source channel for the data.

  • Secondary Channel: Select the destination channel for data transfer.

  • Columns to Copy: Specify which columns from the primary channel should be copied to the secondary channel.

Step 4: Map Primary and Secondary IDs

  • Select the Primary ID field from the source channel.

  • Select the Secondary ID field for the destination channel.

  • Use the Add Fields option to include additional fields for data copying.

Step 5: Define Sorting Order

  • Sort By: Choose a common field to sort matched values.

  • Sorting Order: Set ascending or descending order for sorting.

  • Record Based On: Sort by the latest or first record of the field.

Step 6: Add Conditions (Optional)

  • Use the Add Conditions button to define specific criteria for copying data.

  • Combine conditions with AND/OR operators as needed.

Step 7: Save Your Lookup

Click 'Create' to finalize the setup.

Key Considerations

  • Deleting Lookups: Removing a lookup deletes dependent KPIs, which cannot be recovered or reused in new lookups.

  • Parent-Child Object Limitation: Parent objects of the primary channel cannot be selected as secondary objects.

Users can dynamically filter or retrieve data based on relationships using lookup fields, enhancing operational efficiency and data accuracy.
