The Sales by Invoice Report provides details of sales invoices, returns, and e-commerce orders. This report helps track each invoice's details, such as quantities, cost of goods sold (COGS), taxes, profit value, and other key data.
Accessing the Report
Navigate to: Reports > Sales > Sales by Invoice.
Click on the report to view its details.
You can search for invoices by:
Date range (Start Date and End Date)
Location name
Customer name
Payment Status(Paid, Postpaid, Partially Paid)
Invoice number
Report Overview
The report has two sections:
Invoice Details: Includes data for each invoice.
Summary: Provides totals based on the selected date range or search filters.
Key Information in the Report:
Invoice Number: Includes sales, returns, and e-commerce orders.
Location: Name of the branch where the transaction occurred.
Sales: Total sales invoices minus returns and discounts, excluding taxes.
Cost of Goods Sold: Direct cost of the sold products.
Gross Margin: Sales (excluding taxes) minus COGS.
15% Sales Tax: Total VAT in the invoice.
100% Sales Tax: Total tobacco or compound tax at 100%.
Other Sales Tax: Any other taxes not at 15% or 100%.
Total Sales Tax: Sum of all taxes in the invoice.
Sales (Tax Inclusive): Total sales minus returns and discounts, including taxes.
Sold Quantity: Quantity of products sold, excluding returns.
Example: If 10 items were sold and 3 returned, the report shows a sold quantity of 10.Returned Quantity: Number of returned products.
Exporting the Report
Click the three dots in the upper-right corner of the page.
Select xlsx to export the report as an Excel file.
The file will download to your device for further review.
FAQs
1. How can I see the products sold in a specific invoice?
Copy the invoice number from the Invoice Number column in the report.
Go to Sales & Customers > Sales Invoices > Enter the invoice number in the search field > Click on the invoice to view its details.
2. How can I view the tax details in a specific invoice?
Search for the invoice number in the search field within the report.
The tax details will appear in the relevant columns.
3. Can I find the total invoices and sales for a specific customer?
Yes, search for the customer’s name in the search field.
The report will display all related invoices, and the summary at the bottom will show the totals.
4. Can I identify invoices with discounts in this report?
Unfortunately, this report does not highlight invoices with discounts. You can share this as a suggestion via the suggestion platform.
To find discounted invoices, go to Sales & Customers > Sales Invoices > Search for the invoice number > View details. Alternatively, export invoices as an Excel file and check the Discount column.
5. Can I control user access to this report?
Yes. Go to:
Settings > Users > ⚙️> Edit User.
Under User Permissions, navigate to Reports > Report List > Enable Read.
Navigate to Sales Reports > Expand the list to select Sales by Invoice.
Save the user’s permissions to grant them the appropriate access.
