How to manage your jobs and payments in the Road Ninja App

This guide explains how to use the Road Ninja app for each scheduled workday. Following these steps is important because it ensures you get paid correctly and on time.


Starting your shift

Jobs starting within 24 hours, or jobs happening on the same day, are visible on the 'Live jobs' page. When you arrive at the job location at the expected start time, follow these steps to begin your shift:

  1. Open the Road Ninja app and tap the Live Jobs icon.

  2. Select the job that matches today's date.

  3. Scroll down and tap the Start Job button.


Completing pre-departure checks

After starting the job in the app, you must verify the vehicle's safety.

  1. Tap the Run Pre-departure checks button.

  2. Inspect the vehicle. If you find a fault, mark it with an X. If everything is fine, use the tick mark.

  3. Reporting Faults - If you identify a fault, you must indicate whether it is critical.

❌ Critical Faults - If the vehicle is not safe or legal to drive, the job cannot proceed until the company provides a replacement vehicle.

⚠️ Non-Critical Faults - If the vehicle is safe, you may proceed.

Once the checks are complete, you are ready to drive. You can close the app now, as the job timer will continue running in the background.


Completing your shift

When you finish your work for the day, you need to submit your hours and logbook evidence. Complete your physical or digital driver's logbook to record your finish time. Take a clear photo or screenshot of this logbook entry.

  1. Return to the app - Open Road Ninja and navigate back to Live Jobs. Select the active job for the current date.

  2. Tap the Complete Job button

  3. Review details - Verify that the start and end times displayed are correct.

  4. Select billable hours - Choose the hours you wish to charge for. For hourly rate jobs, you can select either the "Booked Time" or your "Actual Time."

  5. Upload evidence - Upload a photo or screenshot of your logbook. Note that your logbook hours act as evidence of your work but do not strictly need to match the hours you are charging for.

  6. Tap Submit.

For hourly rate jobs, you can charge for the Actual Time worked (e.g. charging 7 hours for a 6 hour booking) or the Booked Time initially requested.

If you accepted a fixed day rate, this selection does not change your payment. You will be paid the agreed flat rate regardless of the hours logged.


What happens after submission?

Once you submit your hours, the job status will update as it moves through the approval process:

  • In Review - The company has received your details and is reviewing them.

  • Confirmed - The company has approved your hours and the invoice has been generated.

  • Paid - The payment has been processed.


Understanding payments and invoicing

Once you submit your job details, the Road Ninja system automatically generates an invoice on your behalf. The system uses your profile details, such as your hourly rate or agreed fixed price, and applies GST if you are registered.

The company that booked you pays the invoice directly through the Road Ninja portal using Stripe. The money goes straight from their account to the bank account you listed in the app. Road Ninja does not hold your funds.

If you use Hnry for tax management, the payment can go to your Hnry account. Hnry will deduct taxes and send the remaining balance to your personal account.

Payments typically arrive in your bank account 4–6 business days after the hiring company initiates the payment.
