Admin Guide to Remote Health Global

Throughout this article, 'member' refers to your employee or contractor. 'Dependents' refer to the members' spouse/domestic partner and/or children on the plan.


Using the admin dashboard

The admin dashboard is where you’ll find a complete list of all the members enrolled in your plan. Whether you're adding new employees or making changes, the dashboard makes it simple to keep everything up to date and create reports for your own records.


Adding new members

You can easily add new members to your plan at any time throughout the plan year. Just be sure to add them within 30 days of their hire date or after completing any probationary period within your company.

Who can be included?

Remote Health can cover your employees and contractors, whether they’re full-time or part-time. Plus, you can allow members to include their dependents, such as a spouse or domestic partner, and/or their children. Costs for dependents will appear on your invoice.

Please be aware of country restrictions. Currently, Remote Health covers more than 175 countries.

Coverage start date

Coverage begins either on the 1st or the 15th of the month.

New member information

To add a new member, you’ll need three things: their personal email, plan selection, and start date. You can add multiple members with the same start date and plan type by entering their emails or pasting them from a spreadsheet.

It's important to choose the correct plan during onboarding. Once a member’s coverage is active, they will have the same coverage for the entire plan year. Plan upgrades or downgrades can only be made at the time of renewal.

Grouping feature

You can organize your members based on your preferences, such as grouping them by department. This won’t affect their coverage or billing, but it can help keep your members organized for your own benefit.

Dependents

If your members are allowed to add dependents, switch the 'allow members to add family during onboarding' option to green. When you turn on this feature, we will collect both the member's and their dependents' information at the same time. This makes things easier for the member, as their dependents will appear in their dashboard right away. It also helps keep your invoice accurate because the member and their dependents will appear together.

Who can be included as a dependent?

The member's spouse or domestic partner and/or children can be included, all in the same country of residence. Coverage is available for the member's dependent children until the day before they turn nineteen (19) years old if they are single, or until the day before they turn twenty-four (24) if they are single and full-time students at an accredited college or university at the time the policy is issued or renewed.

Adding dependents later

If you forget to include a member's dependents when adding them to the dashboard, simply reach out to our customer care team with the dependent details. For each dependent, we’ll need:

  1. Their full name

  2. Gender assigned at birth

  3. Date of birth

  4. Country of residence

  5. Country of nationality

  6. Relationship to the member

Dependents can be added up to 30 days from the member's start date, and their coverage will always begin on the same date as the enrolled member, regardless of when you provide the details.

Adding dependents with a qualifying life event

New dependents can be added to a member's coverage outside the 30-day window if there is a qualifying life event, such as:

  • Marriage

  • Birth or adoption of a child

  • Loss of other health insurance

Important: Member onboarding

Once you add a new member to your dashboard, they will receive a welcome email from SafetyWing prompting them to create their member profile. They will have 30 days to complete this important step. This is how we get the necessary details to underwrite their Remote Health policy. If they don’t complete their profile within 30 days, they won’t be able to enroll until your group plan renews.


Removing members

Members can be removed from your plan at any point during the plan year if they experience a qualifying life event.

Policy cancellations cannot be undone, and the member and dependents will not be eligible to re-enroll on this plan until renewal.

Qualifying life events include the following:

  • Change in employment status

  • Marriage

  • Moving outside of the 175+ countries of coverage

Submitting a cancellation request

From the admin dashboard, expand the member view by clicking the arrow on the right-hand side. Once the view is open, click "Cancel Insurance." Select the end date, then click "Yes, cancel insurance."'

Canceling insurance in advance:

If you know in advance that a member is leaving the company, you can submit the cancellation request with a future date. This ensures the member’s coverage will end on their last day of employment, or at the end of the benefits package provided by your company. You also have the option to extend their coverage if they are being let go. The choice is entirely yours.

If a member is not removed on time, you can backdate their coverage up to 5 days.

Removing dependents

Dependents can only be removed from a member's coverage during open enrollment around renewal time. During this period, members can choose whether to renew coverage for their dependents. If they opt not to renew, the dependents will be removed from coverage at the time of renewal.

If a dependent child gets married or ceases to be a full-time student, or if a dependent spouse is no longer married to the member due to divorce or annulment of the marriage, coverage for such dependents will end on the expiration date of the policy following the event.


Understanding coverage statuses

In the dashboard, you’ll see various statuses for members, depending on where they are in their coverage journey.

  • Invited: This status appears as soon as you add a new member from the admin dashboard. It indicates that the member has been sent their welcome email from SafetyWing.

It’s important that the member fills out the form linked in the email. This is how we gather their personal information to set up their policy. If a member doesn’t complete their profile, they won’t be covered by Remote Health for the upcoming plan year.

  • Onboarding: The member has started filling out their profile, but it’s incomplete. They need to complete their profile before their coverage can be activated.

  • Processing: The member’s profile is complete, and we are underwriting their coverage.

  • Active: The member’s coverage is active.

  • Canceling or Canceled: This status reflects the ongoing or completed cancellation of the member’s coverage.

  • Expired: The end date of the member’s policy has been reached and their insurance is no longer active.


Managing member information

You can expand each member’s row in the admin dashboard. Click on the arrow to view their details, including their policy number, start date, and any dependent information.

From this view, you can also resend member invites, change their group, or cancel coverage.


Downloading member information

You have the option to download member information from the dashboard, which can be useful for tasks like record-keeping or payroll.

To download, simply click the "Export as CSV" option near the top of the dashboard. Once downloaded, you can open the file in Google Sheets or Excel.


Managing your account

Under the Account tab, you can view details about your company account or update payment information if you're using a credit card.

Company information:

If you need to make any changes to your company information, reach out to our customer care team via the live chat on our website.

Payment information:

To update your payment details, click "Replace Payment Information."

Set payment method

Choose the option that works best for you. Credit cards are recommended. Fill out the details, and click 'Set billing method.'

Adding more admins

Anyone you add as an admin will have full access to the admin dashboard. They’ll be able to view, add, and remove members as needed. It’s important to grant dashboard access only to trusted team members.

Payment information

Credit card

When paying with a credit card, you have two options:

  1. Set up automatic payments, OR

  2. Provide written permission with each invoice to charge the card

We recommend automatic payments to prevent delays and avoid coverage lapses for your team. Regardless of your choice, you will always receive a detailed invoice and receipt.

Bank direct debit

With direct debit, you can choose:

  1. Automatic withdrawals, OR

  2. Provide written permission with each invoice to withdraw funds

We recommend automatic withdrawals to avoid payment delays and prevent coverage lapses. As with credit card payments, you will always receive a detailed invoice and receipt.

Bank wire transfer

When using a wire transfer, it’s important to send the confirmation to billing@safetywing.com for each invoice. This is the only way for us to mark your account as paid.

You will receive a receipt once the payment is processed, usually within 7-10 days after submitting your wire transfer confirmation.


Invoices

Payment frequency

Insurance payments are made in advance for the coverage period, and your group policy will only be activated once the initial payment is received. This first payment needs to be made before the start date to make sure coverage starts on time.

You can choose to pay quarterly, semi-annually, or annually, whichever you prefer. Just keep in mind that the frequency you select when signing the contract is locked in for the year, but you’ll have the option to adjust it at renewal time.

At the end of the policy year, you'll receive a reconciliation invoice, which will reflect any adjustments made since your last payment.


Invoicing schedule

Our billing team will email you an invoice two weeks before your payment due date. Payments are due either on the 1st or the 15th of the month, depending on your plan’s start date. You can find your due date on the top right corner of your invoice. Please note that payments are considered late if not received within 30 days of the due date.


Late payments

If payment isn’t made within the 30-day window, your team will temporarily lose access to their benefits, including claim reimbursements, direct billing, and pre-approvals, even support for emergencies. The good news is that as soon as we receive your payment, all benefits will be fully restored.

Please keep in mind that if payment is more than 60 days late, your team’s coverage will unfortunately be canceled.


Prorated policies

When you add or remove a member mid-billing cycle, you will only pay a prorated amount for the days they were active. If you add a new member, your next invoice will show two charges: one for the previous cycle and one for the current cycle. Similarly, if you remove a member during a billing cycle, you will receive a credit on your next invoice for the unused portion of their premium.


Your invoice in detail

Your invoice will include a summary of all active policies during the billing cycle, covering both the member and their dependents (if applicable). If the member has dependents, their information will be listed under the member, and they will share the same policy number. The total amount for the member and their dependents will be reflected in the totals.

Claims

Information about claims and the escalation process.

Submitting a claim is easy

It only takes about 5 minutes. Most of the claims get processed the same day and are reimbursed within 3 business days.

  1. Go to your dashboard to file the claim

  2. Provide the medical details about your claim

  3. Enter your bank details for the reimbursement

  4. Upload medical documents, invoices and receipts

  5. Track the status of the claim on your dashboard

We recommend having the following ready:

  • Your medical report

  • Any invoices outlining what you paid

  • Any relevant receipts

  • Your bank account information

We’ll be sure to get in touch if any extra information and/or supporting documents are needed in order to process a claim.

For treatments over $500:

Members should request pre-approval through their dashboard at least 7 days in advance. Through this process they can also arrange direct payment between SafetyWing and the hospital/doctor too.


Before escalating a claims issue

Before escalating any matter to our team, please ensure the following steps have been completed:

  • Has the member checked their inbox?

  • Has the member received an email requesting additional documents or bank information?

  • Has the member provided the requested information to our claims team?

  • Is your company's latest invoice paid and up to date?


Process for escalating claims

Once you've confirmed that the member has checked their inbox, provided any additional details we may need, and your latest invoice has been paid, please submit your claim concerns to claimsupport@safetywing.com.

Essential information for escalations

  • Member’s policy ID

  • Member’s claim number

  • Brief summary of the issue

As soon as we receive your message, our claims team will jump in to help, connecting with both you and the member to provide further information or find a solution. You can expect to hear from us within 1 business day.
