Learn how to manage your opportunities

You can use Salesbuildr to create and manage opportunities and quotes for your customers. The opportunity defaults can be customised to suit your companies needs.

The opportunity overview page

On the dashboard, navigate to Opportunities to see the opportunities that you have created.

You can filter opportunities based on :

  1. Customer

  2. Pipeline Status

  3. Pipeline Stage

  4. Close date

  5. Expected close date

  6. Owner

In the top right section, you can sort opportunities by Name, Last updated, Age and expected close date.

Importing opportunities from Autotask

Salesbuildr automatically imports newly created opportunities from Autotask every hour.

Older opportunities can imported into Salesbuildr by clicking on import from Autotask and selecting the opportunity you want to import.

Updating opportunities from Autotask

Salesbuildr will automatically fetch updates for opportunities that have been set to status closed in Autotask (this check runs every hour). Changes to opportunities you make in Autotask that are not yet closed will not be updated by Salesbuildr. Use the "Fetch updates from Autotask" button on the opportunity edit page to update the opportunity in Salesbuildr with the latest update in Autotask.

Editing an opportunity

When you select an opportunity, you wil see the opportunity details and the quotes that are related to the opportunity. You can use the Autotask favicon next to the opportunity name and company to instantly open the details in Autotask.

Editing an opportunity enables you to change:

  1. Title

  2. Description

  3. Company

  4. Contact

  5. # Months to use to calculate to total order value

  6. Start date

  7. Owner

  8. Probability

  9. Expected close date

  10. Category

  11. Source

  12. One time revenue (auto calculated if Use Revenue/Cost of quotes items is enabled)

  13. Monthly Revenue (auto calculated if Use Revenue/Cost of quotes items is enabled)

  14. Use Revenue/Cost of quotes items

  15. Pipeline stage

The default values are based on what is configure in the default opportunity settings.

Adding notes to an opportunity

You can add notes to opportunities that sync to the corresponding opportunity notes in Autotask. This will allow you to keep track of important details and conversations related to your opportunities.

Any changes you make will be directly synchronised to Autotask or Microsoft Dynamics 365, depending on your integration.

Setting a primary quote

The blue star indicates the primary quote for this opportunity.

Losing an opportunity

As long as the underlying quote has not been approved, you can use the loose opportunity button to set the opportunity to lost. You can select a loss reason (based on the list of loss reasons) and provide a note for additional context. Any underlying quotes will be set to declined.

Deleting an opportunity

Before you can delete an opportunity in Salesbuildr, you will have to delete the associated quotes first. After deleting an opportunity in Salesbuildr, you will manually have to delete the opportunity in Autotask because the API does not support deleting an opportunity.

How to configure default settings for opportunities in Salesbuildr

Navigate to the Admin section, select Quotes, followed by Opportunity Settings, and finally click on the opportunity config tab. This page encompasses settings for opportunities, pipeline stages, categories, sources, and reasons for loss.

Note: If you use Autotask, pipeline stages, categories, sources, and lost reasons will be based on Autotask settings. To modify these, you'll need to update them in Autotask first. Afterward, go to Admin, Autotask, Synchronise, and click on the synchronise tab to update the data in Salesbuildr.

From the opportunity config tab, you can assign default values for every new opportunity. While these default settings apply automatically to new opportunities, you can always manually override them for each opportunity.


Configurable default fields include:

  1. Pipeline stage

  2. Probability

  3. Expected close date

  4. Category

  5. Source

  6. Calculate total for a specific number of months (to set the order value)

  7. Use Revenue/Cost of quotes items

  8. Set the company accountmanager as default owner

You can also specify which of these fields are mandatory.

How to automatically update opportunity stage and Status

Salesbuildr can automatically adjust the opportunity stage and status based on the quote's status. This feature eliminates the need for manual pipeline updates, reducing human errors and automating your sales workflow. Configure this feature according to your preferences.

Optional: Create an opportunity workflow rule in Autotask

You could create a CRM workflow rule in Autotask to automatically create a follow-up to do for the opportunity owner, after a quote was set to expired.
