How do I view and update shareholder dividend details? (NZ)

As an administrator, you can view and update your shareholders’ dividend details, including their tax residency, tax identifiers, and bank account information.

View and export dividend details (all shareholders)

To review dividend details in bulk:

  • From the left-hand menu, go to Administration

  • Click Custom fields

  • Scroll to the Dividend fields section

Here you’ll see fields such as:

  • Bank account number

  • Non-resident taxpayer status

  • Non-resident withholding tax (NRWT) rate

  • Resident withholding tax (RWT) exemption

To export this information:

  • Click Export as CSV

This allows you to review shareholder dividend details outside the platform.

Update dividend details for an individual shareholder

To update details for a specific shareholder:

  • Go to Shareholders from the left-hand menu

  • Find the shareholder you want to update

    • Scroll or via the search function

  • Click the Actions (⋯) menu on the right

  • Select Edit entity

In the edit window, click the Dividend details tab

Update the shareholder’s details, including:

  • Bank account number (add or edit bank account)

  • Country of tax residence

  • Tax identification number (IRD, TFN, or TIN)

  • Tax residency status (resident or non-resident)

  • NRWT rate (if non-resident)

  • RWT exemption status (if applicable)

Click Update to save

How tax residency works

The system determines whether a shareholder is resident or non-resident based on their selected country of tax residence. This is a change from the former manual input that was required.

  • If they are a New Zealand tax resident, RWT rules apply

  • If they are non-resident, NRWT will apply

Important things to know

  • Dividend details are used to calculate tax and process payments

  • Keeping this information up to date helps avoid payment delays or incorrect tax treatment

  • You can update shareholder details at any time
