Managing shareholder dividend and tax details (NZ)

As an administrator, you can view, update, and export shareholder dividend details, ensuring everything is correct before running a dividend distribution.

What you can manage

You can:

  • Update tax residency

  • Add or edit IRD numbers

  • Set RWT / NRWT tax settings

  • Manage bank account details

  • Export all dividend-related data in bulk

These details directly impact dividend calculations and reporting.

Export shareholder dividend details (bulk)

To review all shareholder data:

  • Go to Administration

  • Select Custom fields

  • Click Export as CSV

The export includes:

  • IRD numbers

  • Tax residency

  • Withholding tax settings

  • Bank account details

Update a single shareholder

To edit an individual shareholder:

  • Go to Shareholders

  • Find the shareholder

  • Click the Actions (β‹―) menu

  • Select Edit entity

Edit dividend details

Inside the shareholder edit screen:

  • Click Dividend details

  • Update the required fields

  • Click Update

You can edit:

  • Bank account details

  • IRD number

  • Country of tax residency

  • RWT exemption status

  • NRWT rate (if non-resident)

How tax residency works

The system determines withholding tax automatically based on residency:

  • NZ resident β†’ RWT applies

  • Non-resident β†’ NRWT applies (based on selected rate)

You no longer manually choose resident vs non-resident, the system derives it from the country of tax residency.

Tips

  • Review and update shareholder details regularly, especially before creating a dividend

  • Use the CSV export to quickly check for missing or incorrect information

  • Follow up with shareholders if key details (like IRD numbers) are missing
