Creating Users in your channel and setting their access.

How to create users to have access to your channel, and setting their access with Role and Permissions.

Access to your channel is governed by the Enterprise Framework, which allows you to:

  1. create roles and permissions (which you then allocate to a user to govern their type of access)

  2. create 'Entities' - partner organisations which you work with and are allowing access to your channel

  3. create 'Users' within Entities - to give access to your channel for a specific individual user. This User will be linked to their Entity; which allows you to govern access to this user on an individual, or Entity level.

Note that with regards to applications, you can give access to each user:

  1. to only access their particular applications/activity

  2. to access their + rest of their entity particular applications/activity

  3. to access 'network' applications/activity (eg assessors or BDMs can access particular segments of pipeline)

  4. to access the entire pipeline and channel

Note that roles and permissions also govern access to particular functionality or sections within your channel.

For each individual User that you want to give access, you must have their Entity already created. If the entity hasn't been created, please see Creating New Entities.

To create a new User for your channel:

  1. Navigate to Organisation, then Entities

  2. Find an existing entity you want to add your new user to by searching or clicking the left/right arrows.

    OR Create a New Entity.

3. On the Entity record, scroll down to Users for this Entity. This will show you all the existing Users belonging to this Entity (which you can edit if you need to).

4. Click on Add to add a new user:

When you open an existing or new User profile, you are able to edit or fill in all information for the user and click save to create the profile. Note that each profile has some mandatory data denoted by an asterisk (*).

For each User profile to be complete, you need to ensure that you set Roles and Permissions for the User profile. Remember that this will then control what the User has access to in your channel. For information on how to build Roles and Permissions, click here.

How to set Permissions for each User

There is some automation in the Enterprise Framework to make setting up User Profiles easier. The User Type is a drop down of pre-set Users, with pre-set roles and permissions:

When you select a certain User Type, this auto-completes the selection of Permissions. eg If you select "Broker" for a new User, this will autocomplete with the Broker permissions:

You will note that User Type will often allocate more than one permission type, and that you can actually set even more permission groups for this user if you want to.

This is because your Simpology Channel is made up of a number of "Solutions", which you can selectively give access to. In this example, the Broker has been given:

  • Broker access to your channel (Simpology Manager);

  • Broker access consumer capabilities (primarily being able to transact with consumers via Info Request)

  • Broker access to Omni (a level of access to your assessment workflows)

  • Broker access to Loanapp (e-lodgement)

When you are satisfied with the profile you have created, remember to click SAVE in order to finalise the profile.

Generally, a newly setup User will receive an automated message from Simpology Manager notifying them of their new user access and requiring them to finalise the profile (set a password). Once your user has finalised with a password, they will have the access according to the Permission Groups you have set against their profile.
