In SingleOps, a Proposal Group combines two or more Proposals into one Proposal document for your client. Use Proposal Groups to bid multiple services for one client and location, or to add services on the spot while in the field.
⚠️ Proposal Groups are not turned on for all accounts by default. To use Proposal Groups, contact support@singleops.com and a Support Specialist will enable the feature.
How do Proposal Groups work?
Proposals are created and grouped together during the Proposal stage. A Proposal Group can include both One Off and Recurring Jobs for a single client location.
When the client (or your team) accepts the Proposal Group, each Job in the group moves to the Active stage as its own separate Job. From that point on (Active, Completed, and Approved stages), the Jobs are no longer grouped and work like any other Job in SingleOps.
When should I use a Proposal Group?
Upselling: A client asks for a bid on a Tree Removal or weekly Mowing and may want other services. Your Sales Rep can add more Proposals to the same Proposal Group on the spot, so the client gets one document with every service.
Returning clients with multiple Jobs: Many clients receive the same services each year but want to approve a new Proposal annually. A Proposal Group combines all of that client's Jobs for a location into one Proposal document.
What doesn't work with Proposal Groups?
Deposits and Prepay are not supported at the Proposal Group level. You cannot collect one deposit or prepayment for the whole group. Deposits and prepayments must be taken on each individual Job in the group. To send a payment link, send the Deposit Reminder email template from each Job.
Progress Billing does not work with Proposal Groups.
Financing can be turned on for Jobs in a Proposal Group, but your client will not see financing on the Proposal Group document. To offer financing, send the individual Proposals instead.
If a client wants to pay one combined deposit by check or card, you can take the single payment and then record a separate deposit on each Job, using the same check or transaction number and a note explaining it was one payment.
How do I create a Proposal Group?
Create the first Proposal you want to include in the group, and complete it as needed.
Click one of these buttons:
+ Proposal Group, right below the Items table
Save and Create Proposal Group, at the bottom of the New Proposal page
In the Create a Proposal Group window, enter a name for the group. It defaults to the first Job's name.
Create the next Proposal in the group. Select a Job Template and click Save & Create Using Template ( 💡recommended), or click Save & Create From Scratch.
Complete the second Proposal, then click Save & Close to add it to the group.
Repeat steps 2 through 5 for each additional Proposal. When finished, click Save.
💡 For Job Notes to appear on the Proposal Group document, add them to the Notes section of the Job with the lowest reference number in the group.
How do I create a Proposal Group from a template?
If you build the same Proposal Groups often, use a Proposal Group Template:
Go to + Create > Proposal
Toggle on Proposal Group Template
Select a template, then click Use Template
Update the Proposal Group and its Jobs as needed.
How do I add a Proposal to an existing Proposal Group?
Go to Jobs > Proposals
Click the Proposal Group's Job number to open its details.
At the bottom, click + Add Job
How do I edit a Proposal in a Proposal Group?
On the Proposal Group page, click Edit Job next to the Proposal you want to change.
Clicking Edit Job on a different Proposal automatically saves the Proposal you're currently working on before switching.
How do I find my Proposal Groups?
Go to Jobs > Proposals. All Proposal Groups and individual Proposals in the Proposal stage appear here.
Click Filters
At the bottom of the filter options, deselect Recurring Jobs and One Off Jobs.
Only Proposal Groups will now display.
Individual Jobs inside a Proposal Group only appear within the group until it is accepted. After acceptance, you can search for and view each Job on its own. To find a specific Job number at any stage, use global search.
For Proposal Group statuses (Not Sent, Sent, Viewed), see Proposal / Proposal Group Status.
How is a Proposal Group accepted?
Clients can accept a Proposal Group, or your team can accept it internally, the same way as any other Proposal.
When the Proposal Group is accepted:
Each Job moves from the Proposal stage to the Active stage.
Each Job keeps its own Job number, which is different from the Proposal Group number.
Each Job's details page shows a banner noting it was part of a Proposal Group.
Proposal Groups also work with Options Proposals.
⚠️ The Customer Acceptance email is only sent when the client accepts the whole Proposal Group. If a single Proposal within the group is accepted on its own, the Customer Acceptance email is not sent.
How do I move an accepted Proposal Group back to the Proposal stage?
Open the Active Job's page.
Click the Job number to open the Job details.
Click Unaccept Proposal.
Click OK to confirm.
How do I remove a Proposal from a Proposal Group?
Go to Jobs > Proposals and find the Proposal Group.
Click the Job number to open the group's details.
Next to the Proposal you want to remove, click Remove, then select Remove from Proposal Group.
How do I delete a Proposal Group?
Go to Jobs > Proposals and find the Proposal Group.
Click the Job number to open the group's details.
Click Delete.
Choose one:
Delete Proposal Group & Keep Job: deletes only the grouping and keeps each Job as an individual Proposal.
Delete Proposal Group & Job: deletes the group and every Job in it.
How are Proposal Groups and their Jobs numbered?
A Proposal Group gets its own number from the regular Job numbering sequence. Each Job inside the group also gets its own Job number, but those numbers are not used for reporting or Job management until the group is accepted. Until then, the Jobs are nested inside the Proposal Group.
Example:
Proposal Group #785 is created for client John Martin with three Jobs: PHC, Mowing, and Tree Removal. The most recent Job number before this was #793, so the three Jobs are numbered #794, #795, and #796.
Johnaccepts Proposal Group #785.
The three Jobs move to the Active stage and keep their numbers #794, #795, and #796.
Numbering will not always follow this exact order. If Proposals were created first and added to a group later, their Job numbers may be lower than the Proposal Group number.
How do Proposal Groups appear in reports?
Jobs Report: The Proposal Group appears as one line in the Proposal stage. The individual Jobs appear as their own lines only after the group is accepted.
Line Item Report: Items in a Proposal Group always appear under their individual Job numbers, not the Proposal Group number, at every stage from Proposal through Approved.
