Appointment Types & Providers

Introduction

The Appointment Types feature is where you can view your appointment types for your providers, and edit settings for them such as their duration, and whether patients can reschedule or cancel them. In SKED, navigate to Settings > Appointment Types & Providers to get started.

Standalone Offices: This is where you can create new providers and create new appointment types, as well as duplicate, delete, and edit settings for them.

Sync Appointment Types

During onboarding, SKED pulls in all existing appointment types from your system. After installation, however, new appointment types sync into SKED differently depending on your EHR:

  • Platinum & ChiroHD
    New providers and appointment types typically sync within one hour. If it’s time-sensitive, our support team can re-sync the office to pull them in sooner.

  • ChiroTouch
    New appointment types require a manual re-sync by the support team to appear in SKED.

  • Genesis
    Appointment types will sync into SKED after the first appointment is scheduled using the new type.

  • Standalone
    Appointment types are created directly in SKED, so no syncing is required.

View Appt Types

Filter Appt Types by Provider

At the top left of the appointment types screen, you will see a silhouette icon labeled “Professional”, or the name of one of your providers. Click the professional icon to reveal a dropdown menu of all of your providers, where you can choose to display appointment types for all providers or a specific one.

Note: If you have hidden a provider/professional, you will need to enable the “show hidden” checkbox to see them in this filter dropdown.

Show Hidden Providers

Click this checkbox to reveal appointment types that are connected to a hidden provider, as well as display a hidden provider in the professional filter tab.

Note: Hidden providers will appear as greyed-out text in the professional tab.

Enable “C to Confirm” SMS Appointment Confirmations

If you would like to allow your patients to confirm their appointments through SMS, click the checkbox at the top of the page.

Edit Provider Information

If you have appointment types filtered by a specific provider, you will see a pencil icon next to the provider's name. Click the pencil to begin editing settings for that provider.

Edit Provider Display Name

On the Edit Professional popup menu, you can change the provider’s display name by clicking the first or last name text field and then typing a new display name for either. Click “Save” after you’ve made your changes.

Hide Provider

If you have a provider who is no longer working with your office, or you have another reason to hide the provider and their appointment types from the appointment types list, click the checkbox labeled “Hide Professional” from the “Edit Professional’ popup tab.

Enable/Set Fallback Appt Type

If you would like clients who have not visited your office within a specified timeframe to default to a particular appointment type, select this checkbox and select the amount of days and the appointment it should fall back to.

For example, if a patient has not been seen in six months and requires a Re-Exam, you can enter 180 days and then choose the appropriate option from the “Fallback Appointment Type” dropdown menu. When the timeframe is met, the patient will be required to schedule the selected appointment type.

This feature calculates the timeframe based on the most recent appointment marked as Arrived and does not consider missed appointments.

Edit Appointment Type

You can manage various settings for an appointment type by clicking on the appointment type’s name on the appointment types page. Once an appointment type is selected, a popup will appear, and you can make your changes from here.

Note: Remember to save your appointment type settings with the save button at the top right of the popup window.

Edit Appointment Name

In the appointment editor popup, click the text box at the top and type in your new display name for the appointment type. These appointment names will show up in the SKED App so it is recommended to update them so patients will understand exactly what they are.

Edit Appointment Duration

To edit the duration of an appointment type, open the appointment type editor, and locate the “Duration” section. Use the arrows to select the duration of the appointment, or use the text bar to type in how long the appointment should be in minutes.

Enable/Set Appt Closing Limit

To limit how close to closing time appointments can be scheduled, check the box, then use the arrow keys or type the number of minutes before closing that appointments can be booked. For example, if your Adjustment appointment type is a 15-minute appointment and you close at 6 p.m., if you add a 15-minute closing limit, the last appointment time that will show is 5:45.

Enable Appt Cancelation

If you wish to allow patients to cancel appointments for an appointment type, highlight this checkbox by clicking it on the appointment type editor.

Edit Cancellation Cutoff Limit

You can add a limit to how close to the scheduled appointment time a patient is permitted to cancel an appointment by highlighting the checkbox by clicking it. Then use the text cells or arrows to set the cancellation window. If your office requires a 24-hour notice to cancel appointments, you can add that amount of time that way the patient has to reach out to you via phone or text to cancel it. The cutoffs can be added in either minutes, hours, or days.

Enable Appt Rescheduling

If you wish to allow patients to reschedule appointments of an appointment type, highlight this checkbox by clicking it on the appointment type editor.

Tip: If you only want patients to be able to reschedule an appointment a specific amount of times, you can add a limit on the Mobile App Settings page.

Edit Reschedule Cutoff Limit

You can set a custom limit for how close to the original appointment time a patient can reschedule. Enable this feature by checking the box, then use the arrow keys or type in the rescheduling limit.

For example, if an appointment is scheduled for 4:00 p.m., and you don’t want them to be able to reschedule it after 2:00 p.m., you can add a 2-hour rescheduling cutoff.

"Can See"

For an appointment to appear in the SKED app, the appointment type must have the “Can See” box checked on the Appointment Type page. Most active appointment types should have “Can See” enabled. However, you’ll want to leave this unchecked for back-office or internal appointment types, such as billing codes, that shouldn’t be visible to patients.

Allow Appt Type to be in Patient Care Plans

If your office uses care plans, check this box for any appointment type that counts as one in the care plan. For example, you’ll want to ensure this is checked for any adjustments as well as re-exams and re-exam reports.

Enable/Set Appt Schedule Cutoff Limit

If you would like to limit how soon patients can schedule appointments of this type, highlight the checkbox in the appointment editor by clicking it, and then you will need to set a cutoff limit by using the arrow keys next to the units of time provided, or clicking the text cells and typing in the numbers you wish to limit the schedules cutoff by.

For example, if it is 2 p.m. and you want the first available appointment to show be 2:30 p.m., you can add a 30-minute scheduling cutoff.

Choose Appt Type Color

To edit the appointment type color, click the colored rectangle at the bottom of the appointment type editor. A new popup window will appear, where you can either use the color scale box to set a specific color or type in color values for your desired color and shade for the appointment type.

Duplicate Appt Type (Standalone Offices Only)

If you wish to duplicate appointment types, hover over the appointment types from the menu until a checkbox appears to the left of it. You can select multiple appointments at the same time. Then, once you have selected the desired appointment types, click on “Duplicate selected” from the ‘Actions’ dropdown menu.

Delete Appt Type

Please reach out to the Support Team to remove any appointment types from the SKED Admin.

FAQs

Why can’t I uncheck/check the boxes?

If you click on any appointment type, a menu will open where you can uncheck or check any settings.

Why is my provider missing a name or has the wrong name?

The name is pulled directly from the EHR. If you’re unsure how to update it, please contact the Support Team, and they will direct you. You can also edit the Display Name so it shows appropriately in SKED by clicking the pencil next to the provider icon.

Where do patients see the Display Name?

They’ll see this on the appointment in the app and the “Appointment Type” placeholder will populate will this name.

Can I hide the provider’s name?

Yes. You can hide it by using a Display Name instead. Click the pencil icon next to the professional icon to change the Display Name.

There are providers listed that are no longer here. How do I delete them?

You can hide any professionals by selecting them and then clicking the pencil icon then checking the “Hide Professional” checkbox.

I can’t find the provider I need in SKED.

If you’ve recently added them to your EHR, you may need to contact the Support team to pull them in or they’ve been hidden. To unhide a professional, click the “Show Hidden” checkbox in the title bar and then use the professional icon to select them. To unhide them, click the pencil icon and uncheck the box.

What is a fallback appointment type?

This allows offices to force patients to schedule a particular appointment if they have not had an appointment within a specified amount of time. For example, an office may choose to make appointments fall back to a Reactivation or Re-Exam after 160 days without an adjustment.

What does “Can See” mean?

That means that patients will be able to see that appointment in the SKED app if it’s scheduled for them. You may want to uncheck this box for appointment types that are internal codes like billing or collection appointment types.

Can I hide appointment types we no longer use?

Yes! While this functionality isn’t available for offices, the Support team can assist!

Why can’t I find an appointment type under a specific provider?

This could be EHR-specific, but most of the time, it is because that appointment type was hidden in the past. The Support Team can assist you in unhiding it or pulling in a new appointment type.

What is Enable Appointment Confirmation?

When this feature is turned on, it allows the office to ask patients to confirm their appointments by replying with “C” in a text message. If they reply with a “C”, it will update the calendar with a thumbs-up icon and when the appointment information is pulled up, it will have a thumbs-up icon there.

Customizing Appt Type FAQ’s

Where does the Display Name appear?

It will show that name if the appointment type placeholder is used in the app for appointments scheduled and for scheduling appointments.

What is a Closing Limit?

This assists offices in ensuring that patients never schedule particular appointment types too close to closing time. For example, if an adjustment is 15 mins and the office closes at 6, a 15-minute closing limit would ensure that the last appointment type available is 5:45.

If I allow my patients to reschedule, can I only allow them to do it a certain amount of times?

Yes! Check the box for Reschedule and then go to Settings > Mobile App Settings to update the Reschedule Limit.

If I allow patients to cancel an appointment, can we make it so they can’t do it once it’s a specific amount of time from their appointment?

Yes! You can use the Enable Cancel Cutoff and choose the time before an appointment that a patient cannot cancel within.

Patients are now allowed to cancel or reschedule within 24 hours of an appointment. Can SKED help enforce that?

Yes! You can add a 1 day Cancel Cutoff and Reschedule Cutoff limit to any of those appointment types.

We don’t want patients to be able to schedule too quickly and want a buffer time. Can I do that?

Yes! You can click Enable Schedule Cutoff and choose how much of a buffer you want. For example, if you have a 30-minute cutoff and it’s 2:00, the first appointment slot that the app will show will be 2:30.
