Provider Schedules

Introduction

The Provider Schedule is where offices will determine appointment availability for patients to schedule adjustments and appointments in the SKED app and online scheduling. The following is a guide on how to get the most out of using SKED’s Provider Schedule. To navigate to this page, click Settings in the bottom left corner of the SKED Admin, then click Provider Schedule.

Create Provider Availability

With SKED’s provider schedule feature, offices can fully customize their availability so appointments are only scheduled or rescheduled where they are allowed. You can choose who can see what appointment types, how many appointments, and when they’re allowed, and you can even link certain schedules together so you’re never overbooked!

Note: The appointment types being added to a schedule do not mean that patients can create or reschedule them. It only means that it takes away some kind of availability or that it has a “weight” in your schedule. New appointment creation is determined on the Mobile App Settings page, and Rescheduling is based on the Appointment Type parameters.

Example Schedule Set-Ups

Example 1: Solo practitioner that can only see one appointment at a time and can see any appointment type at any time that schedules every 15 minutes. Note: The billing code is an internal code that does not affect provider availability so it was not added to a schedule.

Example 2: Solo practitioners who see multiple adjustments at a time but can only see one special appointment at a time. After setting up the schedules, we would link them together (shown later in the article) to ensure they do not overlap.

Example 3: Solo practitioner who can see multiple adjustments, or a New Patient/ROF and allows patients to schedule/reschedule Therapy sessions that are available at any time.

Example 4: Multiple providers, but can only have one special appointment at a time so those appointments are in the same schedule (this only works if the times available are also the same).

Add a Schedule

Click “+Add Schedule” in the top right of the page, and give it a title by clicking the text field in the pop-up. Then click “Add” to create the office's provider Schedule. This schedule will now appear on the page, ready for you to assign appointment types to it.

Add Appt Types to Schedule

Click and drag the desired appointment types from the “Available appointment types” menu on the left side of the screen into the new provider schedule you created. One of the most common schedules offices create is for adjustments, so we will drag any appointment types for Adjustments into our example schedule.

Set Intervals for Schedule

Next, determine how many appointments can be scheduled within a given time frame. This setting controls which appointment times appear as available to patients in the app.

In this example, the maximum number of appointments is set to four every 15 minutes. This allows patients to choose from appointment times on the quarter hour, half hour, three-quarter hour, and the top of the hour.

Once you’ve made your selection, click the blue Save button before proceeding to the next step.

SKED offers the following interval options: 5, 10, 20, 30, 45, 60, 75, and 90 minutes.

⚠️ Important: Be careful when selecting longer intervals if your provider shifts do not align cleanly with them. For example, if you select a 45-minute interval and your morning shift runs from 9:00–11:00, available times will appear at 9:00, 9:45, and 10:30. If your afternoon shift is 2:00–5:00, 2:00 PM will not appear as an option because it does not fall on a 45-minute interval based on the first available time of 9:00 AM.

Set Hours for Schedule

Next, we need to set hours for this new Schedule.

Click the “Set hours” Button on a schedule to open the hour's editor.

If your office hours are the same as your schedule or closely resemble it, you can click the down arrow next to “Set to current office hours”, then click your office name and it will auto-populate the current office hours that are set.

Tip: Add a buffer closing time if necessary. For example, if your office closes at 6 pm, you may choose to schedule appointments up to 5:45 pm to avoid running appointments past close.

To Adjust individual days click on the day of the week you wish to edit hours for, and then select “add new hours”.

From here, use the text fields to input the timeframes you wish for this schedule to be active, and click “add” to incorporate it into the schedule. Repeat this process as necessary for each desired day. If you have repeating hours, you can copy and paste hours using the three-dot menu on each day.

If your new schedule matches an existing schedule, you can click the three-dot menu on the top of the “Edit hours” page of the existing schedule and click “Copy entire week of hours”. Then in the same location on the new schedule, you can click “paste the entire week of hours”

Once you have finalized your weekly provider schedule, click the save button at the top.

Create Additional Schedule

If you’re a multiple doctor office or even a solo practitioner office with unique schedules, there are a few instances where you may need to add additional schedules.

  1. A provider can see more than one appointment in a time interval (3 adjustments in 15 minutes), but can only see one of another appointment type (one New Patient/Report at a time).

  2. Certain appointment types that have specific availability for them, like new patients or re-scan codes. For example, you only see New Patients at 10 a.m. and 6 p.m.

  3. Offices with multiple providers must set up their availability separately by adding more schedules.

Link Schedules

Let’s say you are an office with an Adjustment Schedule with 4 appointments every 15 minutes. You also have a New Patient Schedule with 1 appointment every 30 minutes. The doctor doesn't want to have New Patients and Adjustments at the same time.

You need to add a link on the Adjustment Schedule so that any 1 New Patient appointment blocks off 4 spots on the Adjustment availability.

To add a link, click the paperclip icon on a schedule or click Other Schedules after clicking “Set Hours.”

Click the drop-down menu that says Add and click on the schedule that takes away available from the current schedule:

From there, you’ll decide how many appointments in the other schedule block off an appointment(s) in this schedule then click Save. For example, I would add a link on the Adjustments schedule that says that if there is a Special Appointment (NP, ROF, PROF) it takes away all of the availability for this schedule which is 3 in an interval:

Often, you’ll need to reverse the link. If you have a New Patient or other Special Appointment and the times you see them overlap, you’ll need to add a link to say that if there is an Adjustment, it takes away the special appointment availability:

Since the schedule only allows one special appointment at a time, it only needs to block one.

All vs. Some


​All – If you have it set so that 4 appointments block off 1, all four appointments must be booked before anything is blocked. This means if only 3 appointments are booked, availability will not change.

Some – If you have it set so that 4 appointments block off 1, the very first appointment will immediately block off 1. The next 3 appointments won’t affect availability. You can book those 3 without any change, but the 5th appointment will trigger another block.

NOTE: Schedules do not need to be linked if their available time does not overlap or if the appointments in the schedule do not affect the availability of the other one. For example, if you have an X-ray tech, you may not need to link that to the other schedules because someone else in the offer provides that service.

Edit Schedule

The Provider Schedule lets you edit your schedule anytime. Remember to hit save after making changes to your schedule. The following sections will give you tips to customize your schedule effectively.

Edit Schedule Title

Click on the Schedule’s title to activate a text box to change the name.

Edit Appt Types/Providers

On the far left side, there's a click-and-drag menu with all available appointment types. Drag the appointment type(s) to the center of a schedule to add it. To remove it, drag it from the schedule back to the menu. You can click on multiple appointment types before dragging it to the schedule to save time.

Update Appointment Amounts

To update the number of appointments that can be seen within a time interval, you can change the maximum number of appointments close to the bottom of each schedule.

Tip: Change your intervals to be how you like the availability to show in the app or online portal, for example, if you choose 15, it will offer appointment slots on quarter hours, half-hours, ž hours, and rounded hours.

If you’d like to customize the availability for each time slot you can do so in the “Set Hours” menu.

Update Hours of Availability for Providers/Schedules

To update the times a provider is available, click “Set Hours” on the schedule that needs to be updated. Click on the individual day and update the time slots as needed then click “Add” to save the changes for that day. Once completed with all updates, you can click “Start Now” in the top right corner of the hours to go into effect immediately or click “Start Later,” select the date, and click Save.

Tip: If you have repeating hours, you can copy and paste hours using the three-dot menu on each day or for an entire week, you can click the three-dot icon in the right corner and click “Copy entire week of hours” and paste them into the one that needs to be updated.

Organize Schedule

Click the Arrows under the schedule’s title to move it left or right in the sequence of schedules.

Many offices will choose to put the schedules for the same providers next to each other to stay organized. Another good way to use this is to move your office's frequently updated schedules closer to the beginning, so you spend less time hunting for it.

Copy Hours

Many offices will have the same appointment hours during different days of the week so they’ll Click the three-dot menu to copy or paste common hours.

You can also copy an entire week of hours if you'd like to quickly create a congruent or similar schedule.

Delete Schedule

Click the X in the top right corner of a Schedule to delete it from your list. A confirmation will pop up to avoid accidental deletions.

Add Special Hours

For full office closures, we recommend closing the hours on the Special Office Hours page. If you need to close or open specific schedules, or have partial days, we recommend doing it here.

To block a specific doctor or schedule, go to Settings > Provider Schedule, locate the schedule you want to update, and click Set Hours. From there, click the Special Hours toggle.

Click “+ Add”, then choose whether to create special hours for a single day or multiple days. Click the "Name" field and enter a reason for the closure in the top left corner. If a name is not entered, the special office hours cannot be saved.

Use the calendar in the top right to set the date range the special hours will take effect.

Set the desired special hours by check-marking the applicable days→Add New hours and fill out the time fields for those days. After selecting your times, click the blue “add” button to save the specific days/hours and continue on for the other days as necessary. Feel free to make use of the Copy/Paste hours function to save time after completing a day or you can copy the entire week by clicking the three-dot icon in the top right corner of the “Hours” page.

When you are done customizing your desired special hours, hit the save button on the top right of the pop-up to schedule the special hours.

Add/Edit Room Name (ChiroTouch Specific)

Offices using ChiroTouch with Room View can add room names to schedules, ensuring appointments for specific types appear in the right column. For proper filtering, make sure to add the room names at the bottom of each schedule exactly as they appear in ChiroTouch.

FAQs

Will putting the appointment types in the schedule allow patients to make them?

No. They will not be able to create an appointment type unless it is selected in the Mobile App Settings, active on a New or Existing Patient Portal, or their default appointment type (this only applies if nothing is selected on the Mobile App Settings page).

Why do we have multiple schedules for one doctor?

The reason a doctor may need multiple schedules is because they can see more of one appointment type in the same time frame as another appointment type (3 adjustments vs. 1 new patient) or the availability for an appointment type is different (new patients only are allowed to be scheduled on Mon/Thur at 3 p.m.). If a doctor only sees 1 person at a time and all the availability is the same, all their appointment types can be put into one schedule.

I have a time slot available, but it’s not showing on the app/New Patient Portal.

The most common reasons a time slot does not show are that the schedule with the appointment code does not have that time selected, there is a link for that schedule, or there is a closing limit on the appointment type itself.

How do I block off a specific doctor and/or day?

If the office is closed, you can use Special Office Hours. To block off a specific provider, click Set Hours on that provider’s schedule and click Special Hours. You can add a single day or multiple days. Don’t forget to use the copy/paste function to save time!

Shouldn’t the interval match the duration of the appointment types?

No. Appointment durations are set on the Appointment Types page. The number on the provider schedule has two functions: it will offer the service on that time interval if the availability is a range (3:00 and 3:15 for 15 or 3:00 and 3:30 for 30), and it checks to make sure that there are not any appointments in that time frame. For example, if your new patient appointment is 45 minutes, but you want SKED to ensure nothing is scheduled within a 60-minute time frame to allow new patient adjustment or something like that.

How do I stop allowing patients to schedule on a specific date?

To do this, click Set Hours on the schedule that contains the appointment type that shouldn’t have the availability anymore and change the hours. If the change is immediate, click Start Now or click Start Later to select the effective date.

How come someone was allowed to schedule when that time was taken?

The most common reasons overbookings happen like this is because the schedule is not taking into account the other appointment type (it should be somewhere in the schedule), more than 1 appointment is allowed or the other appointment was added by office staff when the app appointment was already there.

How do I make it so only certain times show available for special appointments like New Patients?

In the Set Hours for that schedule, you can put matching start and end times and it will only show that time.

Why are edits to my set hours not saving?

You’ll need to click on “Add” or click on another day to save the day’s edits, then click Save at the top right corner.

Why does the app not show any availability?

The most common reasons there is no availability are that the day is full, special hours or special office hours close for a period of time, there are no active hours set for the schedule or for the overall office hours, or the appointment isn’t in a schedule that has availability.
