What are Report Sets?

Report Sets allow asset owners and operators to create unique report sets that bundle relevant data together so they can get the information they need.

This enables users to provide information to relevant stakeholders while ensuring compliance is met at all levels of the owner/operator relationship. This report set system will group individual reports into groups or “sets” that consist of data from specific selected properties based on a user’s property assignment. m

Why are Report Sets needed?

Operators often manage properties for multiple asset owners and occasionally own properties. These operators are responsible for managing workflows across various owners.

Who will use Report Sets?

Report sets can be used by clients who manage properties for multiple owners.

  • Owners can receive different types of data across their portfolios.

  • Operators can receive data for the properties they manage.

  • Site teams can export data based on the properties managed.

How to build a Report Set

Users must have the Manage Personal Reports or Manage Organization Report Sets permission to create Report Sets.

To ensure security, users will only see the properties they’re assigned to in SmartRent Manager unless they are given the Organization Reports permission, in which case they can view all properties within the organization.

  1. Select the properties to include in the Report Set

  2. Users can filter the table by State, City, or Region to quickly find specific properties

    1. Users can select “Include new properties.” When enabled, new properties will automatically be included in this report set.

  3. Click Next

How to Enable and Customize Reports

After a user selects the properties they would like to include in the Report Set, they must choose which reports they would like to generate for those properties. All reporting fields are automatically populated initially. To enable and customize reports for a Report Set:

  1. Press the toggle button next to the appropriate report

  2. Select the desired fields to include in the Report Set

  3. Click Save

A side drawer will appear when the user toggles a report on. The user must select “Save” to continue.

Step 3: Setting Delivery Options and Naming

Users can customize the following information for each Report Set:

  1. Report Set Name: Naming reports helps users organize reports based on their unique business rules. For example, a user can name a report set as “East Coast Reports - Weekly” to denote that this report set contains properties on the east coast and that it reports weekly - helping them identify what information the report includes.

  2. SFTP Details (optional): Users can input the URL, Directory, Username, and Password associated with their SFTP location. This will only display if the user has the Deliverability permission.

  3. Reporting Cadence: Users can select how often they would like reports delivered.

Reviewing the Report Set Summary

After entering the custom naming and delivery preferences, users can view a summary of their Report Set to review and make changes as needed. To make edits:

  1. Click the pencil icon on the top right corner of the section that needs editing

  2. Users can select the Create button to finalize the report if changes aren’t required.

  3. Users can click the trash icon to delete a Report Set.

Report Sets Permissions

Users need various permissions to complete specific actions within SmartRent Manager. The below permissions are available for Report Sets:

  • Update Delivery Methods: Users can edit and save SFTP and Delivery Cadence preferences.

  • Manage Personal Report Sets: Allow report sets to be tied to a user to report on property activities separate from the operator/organization. This permission is designed for users who should only have access to the data of properties they are assigned to in SmartRent Manager. If a user has permission to view reports today, they will automatically be assigned the personal reports permission.

  • Manage Organization Report Sets: Users with this permission can manage all report sets created.

Users who currently manage reports will be assigned the manage organization reports permission.
