Case Services are Service Files that are tracked within an Individual’s (clients) Case. Each Case Service represents a program/service within your agency (e.g. Individual Counselling, FDR, Mental Health Counselling etc).

Once the Case Service has been set up, you can create a Service File for any Individual receiving that particular service. The Service File may have one or multiple Case Members. Within each Service File, the assigned Workers can record notes, schedule appointments (Service Events), complete documents and attach files.

You will need to be signed into Penelope with a user account that can access the Setup sidebar (e.g. usually a Super User account) to access these functions.


How to Add a Case Service

  1. From the My Home screen navigate to the Setup tab (right-hand side).

  2. Click Services List.

  3. In the Case Services section click Add.

  4. Complete the required details on the Add Case Services page. If a value is entered in the Event Length field it will override any value entered in the Default Event Duration (Event Setup). If no Event Length is entered it will default to the Default Event Duration (Event Setup).

  5. Click Save.

How to Delete a Case Service from the Service List

  1. From the My Home screen navigate to the Setup tab (right-hand side).

  2. Click Services List.

  3. In the Case Services section click the minus (-) icon next to the Case Service you want to delete.

The Case Service will be deleted if not in use. If the Case Service is in use it can be deactivated instead.

How to Deactivate a Case Service

If you don’t want to delete a Case Service or you cannot because it is in use, it is possible to deactivate it so it can no longer be used.

  1. From the My Home screen navigate to the Setup tab (right-hand side).

  2. Click Services List.

  3. In the Case Services section, click the Case Service name you wish to deactivate.

  4. Click Edit.

  5. Uncheck Active.

  6. Click Save.

Assign a Worker to a Case Service

By assigning a Worker to a Case Service you are allowing the Worker to be assigned any Service Files which fall under the Case Service including any Groups. This allows the Worker to view Service Files, edit Service Files, add Service Files, book events, write case notes etc (subject to any overriding Security Class permissions).

  1. From the My Home screen navigate to the Setup tab (right-hand side).

  2. Click Services List.

  3. In the Case Services section, click the Case Service name you wish to deactivate.

  4. One the Case Service page select the Workers tab.

  5. In the Workers section of the Case Service page select Add.

  6. Enter the Worker’s name.

  7. Click Save.

If you would like to add all Clinical and Intake Workers to the Case Service use the Assign to Workers link. This will add all Workers in these User Groups and must be used with caution.

How to Edit a Case Service

To edit a Case Service click the edit button located in the top right-hand corner of the page. Edit as required and then click Save.

How to Delete a Case Service from within the Case Service

To delete a Case Service click the delete button located in the top right-hand corner of the page. If the Case Service is in use it cannot be deleted and should be made inactive (use the edit function mentioned above). It should be noted that a deleted Case Service cannot be restored.
