Recording attendance for a group event marks it as resolved. We highly recommend recording attendance for group events as this functionality can affect a variety of reports and statistics in the database.

Some reports have filters for specific event statuses while others exclude any non-resolved events (those that are still in booked status). If attendance is not recorded for a group event it may not be counted or included in these reports and will affect the statistics for your organization.

Also, if you’re using billing in Penelope you cannot invoice unresolved events so forgetting to mark attendance could result in Service Units not being invoiced.

Important Information

If a Worker is recording attendance for a group event with more than 200 members (at the same time) a warning will display notifying the Worker that the process could take a long time. This feature has been added to ensure Workers are aware that marking attendance in large numbers can have an impact on performance and is available in version 4.18.1.0+.

THE BASICS

Recording attendance for an event marks it as resolved. We highly recommend recording attendance for appointments, as this functionality can affect a variety of reports and statistics in the database. Some reports have filters for specific event statuses while others exclude any nonresolved events (those that are still in booked status). If attendance is not recorded for an event, it may not be counted or included in these reports and will affect the statistics for your organization. Also, if you’re using billing in Penelope, you cannot invoice unresolved events, so forgetting to mark attendance could result in lost revenue.


Record attendance for a Group Event

STEP 1

In the group, in the Group Events section, click the date of the event you want to record attendance for.

STEP 2

Click the Attendance tab.

STEP 3

Click Edit.

STEP 4

1. In the Change All To drop-down list, select the appropriate attendance status.

2. If required, clear the checkbox next to each client for whom the status does not apply.

3. Click Save.

Important Information:

If a Worker is recording attendance for a group event with more than 200 members (at the same time) a warning will display notifying the Worker that the process could take a long time. This feature has been added to ensure Workers are aware that marking attendance in large numbers can have an impact on performance and is available in version 4.18.1.0+.


After you finish

The attendees are marked with the appropriate attendance choice.
