Group Event Page

The Group Event page provides Workers with a snapshot view of a group event and includes the event ID, start date/time, end date/time, description, site, location, attendance, Workers, resources, Service Units etc.

You can access the Group Event page from following locations in Penelope (subject to permissions):


Edit the Group Event Details

To edit the Group Event click the edit button located in the top right-hand corner of the screen. Once clicked you will be able to edit the items below.


Deleting the Group Event

To delete the Group Event click the delete button located in the top right-hand corner of the screen. If a password is not required, clicking the delete button will delete the event immediately (and cannot be reversed). If a password is required and you do not have the password please contact your System Administrator.

Please note that in some cases it may not be possible to delete the event due to other attached records (e.g. Documents, Tasks etc). If this is the case the other records will need to be deleted/finalized first.

Penelope 4.19.1.0 and above – If a Worker deletes a group event with more than 200 members (at the same time) a warning message will be displayed notifying the Worker that the process could take a long time and could cause slowness for other users. This feature has been added to ensure Workers are aware that deleting events with a large number of attending members can have an impact on performance when working with the event in the future.


Workers and Resources Section

This is a list of all Workers and Resources assigned to the event. To add a Worker or Resource to the event:

  1. Click the Add link located in the top right-hand corner of the Workers and Resources section.

  2. Select what you would like to add: Resource or Worker or Primary Worker.

  3. Select the Resource or enter the Worker’s name.

  4. Click Save.


Service Units Section

This is a list of all Service Units assigned to the event. To add a Service Unit to the event:

  1. Click the Add link located in the top right-hand corner of the Service Units section.

  2. Start typing the name of the Service Unit and then select as required.

  3. Enter the Quantity.

  4. Click Save.

How to Append Notes

To append notes to a group event click the Append Notes link, uncheck Apply To Shown Events Only if applicable, enter your notes and then click Save.

Notes written using the Append Notes function will be added to all attending members group Service Event.


Attendance Tab

Recording attendance for a group event marks it as resolved. We highly recommend recording attendance for group events as this functionality can affect a variety of reports and statistics in the database.

Agenda Tab

To add an agenda to the Group Events page:

  1. Navigate to the Agenda tab.

  2. Click edit (located in the top right-hand corner of the page).

  3. Enter your notes.

  4. Click Save.

Agenda notes may be used as a place to store general information about the group event or more specific information about the joining requirements or fees for this particular event etc.

Maximum Members and Attendees

When working with groups in Penelope:

  • It is recommended that groups have no more than 200 members.

  • It is also recommended that no more than 200 attendees are added to group events.
