Managing Attachments

Attachments are files that have been uploaded to Penelope. Common file types include:

  • Microsoft Word

  • Microsoft Excel

  • PDF’s

  • Photos

It is possible to upload Attachments to the Individual Profile, Case, Service File, Service Event etc. The actual locations available depend on how your System Administrator has configured Penelope.


Uploading Attachments

The screens below may vary depending on where in Penelope you are uploading the Attachment, however, the process is the same throughout Penelope.

  1. Navigate to the location of where you would like to upload the Attachment in Penelope.

  2. In the Attachments sidebar click the Upload tab.

  3. Then click Choose file.

  4. Select the file you wish to upload from your computer (and click Open on a Mac or click OK on a Windows machine). File names in Penelope cannot contain spaces.

  5. Click Go.

Once you have uploaded the file to Penelope it will be available under the Download tab in Attachments sidebar.

Information

In Penelope version 4.7.13.0 and higher downloading and opening attachments will mimic the behaviour of your browser settings and preferences. Typically attachments will open in a new tab in your browser. Some mobile devices like iPads and iPhones do not have a file structure that prevents the downloading of attachments although it is possible to view them in the browser instead.


Deleting Attachments

Depending on your configuration (set by your System Administrator) you may or may not be able to delete Attachments. It should also be noted that the screens below may vary depending on where in Penelope you are deleting the attachment from, however, the process is the same throughout Penelope.

Warning

Deleting a file is irreversible. Please be careful to select the correct file before you select the minus (-) icon.

  1. Navigate to the location of the Attachment you wish to delete in Penelope.

  2. In the Attachments sidebar click the Download tab.

  3. Select the attachment you would like to delete by clicking the minus (-) icon located to the right of the attachment name.

  4. The attachment will be deleted and removed from the list once the minus (-) icon is clicked. The attachment cannot be recovered once deleted.


Downloading Attachments

The screens below may vary depending on where in Penelope you are downloading the Attachment. However, the process is the same throughout Penelope.

  1. Navigate to the location of the Attachment you wish to download in Penelope.

  2. In the Attachments sidebar click the Download tab.

  3. In the File Name column click the name of the Attachment you want to download.

  4. Depending on your browser settings you will be able to Open or Save the downloaded file.

Information

As iPads do not have a file structure it is not possible to download Attachments from Penelope onto an iPad. As a workaround, some third-party applications may allow you to save a downloaded file directly from a web browser into the application.

Attachment File Names

The following characters can be used in attachment names:

  • a - z, A - Z, 0 - 9, -, _, (), and spaces

  • no more than one period (.)

  • Other characters are invalid.
