PenelopeMobile

This upgrade became available on July 2022 to all customers.

PenelopeMobile has been redesigned and expanded with an initial set of functionalities targeting home workers. PenelopeMobile will provide workers with access to their calendar, case data, and the ability to take event notes and fill out event documents with clients.

  • View upcoming calendar events

  • View and search historical calendar events

  • View details of calendar events

  • View your case information (individual, service file, case, group, informal series)

  • View case information associated with an event

  • Create or edit notes on events

  • Add documents and assessment forms to events

  • View documents associated with events and various case information

  • Take event attendance

In addition to these new features, we have done our best to make Penelope Mobile fully accessible and operable with access-assistance tools.

Setup

PenelopeMobile must be enabled via the SA tool for workers to have access to it. In addition, settings can be used to control how support requests made PenelopeMobile are received. Enabling PenelopeMobile will enable it for all users.

Functional Breakdown

Calendar

  • View Upcoming Events and Historical Events

  • Upcoming Events page is the landing page when user either:

    • Logs in to Penelope from a mobile phone

    • Uses the ‘Mobile’ sidebar button from within Penelope

  • Calendar pages will infinite scroll – floating black up arrow always takes you back to top of page

  • Filter on history – by service file and/or date, and change order from newest to oldest

  • Tap on Event to open

  • Clicking on Header icon will always return you to the Upcoming Calendar view

  • Clicking on blue folder icon will take you to the Caseload Views page

Service Events

  • Details, Notes and Documents shown in expandable/collapsible drawers

  • Menu icon beside name brings up bottom menu

  • Left arrow in light green bar goes to previous page (returns to calendar)

  • Links go directly to Service File, Case, Individual, map location, or open video link

  • Clicking on blue folder icon will take you to the Caseload Views page

Taking Attendance for Service Event:

  1. Select desired status.

  2. For Show status, select who showed (or unselect who did not)

  3. Once marked cannot be changed

Group Events

  • Details, Agenda, Documents, and Participant Events shown in drawers (no arrow means no content for drawer)

  • Menu icon beside name brings up bottom menu

  • Left arrow in light green bar goes to previous page (returns to calendar)

  • Links go directly to Group, Individual, map location, or open video link

  • Participant events are individual service events for each case file in the group event, and provide a way to take notes or add documents private to that set of individuals

  • Clicking on blue folder icon will take you to the Caseload Views page

Taking Attendance for Group Event:

  1. Select desired status.

  2. Select the individuals (or case groups) who have that status

  3. May continue until every member of the group has a non-booking status

Informal Series Event

  • Details, Notes, and Documents shown in drawers (no arrow means no content)

  • Menu icon beside name brings up bottom menu

  • Left arrow in light green bar (Event bar) goes to previous page (returns to calendar)

  • Links go directly to Informal Series, Individual, map location, or open video link

  • Clicking on blue folder icon will take you to the Caseload Views page


Taking Attendance for Informal Series Events: Mark who came to the event, once marked cannot be changed.


Indirect Event

  • Details, Notes, and Documents shown in drawers (no arrow means no content)

  • Menu icon beside name brings up bottom menu

  • Left arrow in light green bar goes to previous page (returns to calendar)

  • Links go directly to Individual, map location, or open video link

  • Clicking on blue folder icon will take you to the Caseload Views page


Taking Attendance for Indirect Event: As with Penelope, only Individuals can be marked for attendance. So, if event is worker-only, no-one will be shown. If there are individuals, they will be shown here.

Caseload Views

  • View your Service Files, Groups, and Informal Series

    • Primary – all Service Files you are primary worker for

    • Group – all Group Service Files you are primary worker for

    • Other – all Services Files and Groups you are other kind of worker for

    • All – all Service Files and Groups you are any kind of worker for

    • Informal – all Informal Series you are worker for

  • List will infinite scroll – floating black up arrow always takes you back to top of page

  • Tap on Service File, Group, or Informal Series to open – can get to Individual or Case File from there.

  • Clicking on green Calendar will always take you to Upcoming Event Calendar page.

Case Files

  • Service Files, Details, Referrals, and Documents shown in Drawers

  • Menu icon beside name brings up bottom menu

  • Left arrow in light blue bar goes to previous page

  • Links go directly to Individuals

  • Tapping on Service File or Document opens detail page

  • Custom fields will be shown in the Details drawer

  • Clicking on green Calendar will always take you to Upcoming Event Calendar page.

Service File

  • Workers, Events, Notes, Details, Contacts, Referrals, and Documents shown in Drawers

  • Menu icon beside name brings up bottom menu

  • Left arrow in light blue bar goes to previous page

  • Links go directly to Case or Individuals

  • Tapping on Event, Note, or Document opens detail page

  • Custom fields will be shown in the Details drawer

  • Clicking on green Calendar will always take you to Upcoming Event Calendar page.

Individual

  • Contact Info, Notes, Cases & Services, Details, Employment, Contacts, Policy, and Documents shown in Drawers

  • Left arrow in light blue bar goes to previous page

  • Links in Contact Info initiate calls or emails

  • Tapping on Case, Service, or Document opens detail page

  • Custom fields will be shown in the Details drawer

Group

  • Workers, Events, Notes, Details, and Documents shown in Drawers

  • Left arrow in light blue bar goes to previous page

  • Tapping on Event or Document opens detail page

  • Clicking on green Calendar will always take you to Upcoming Event Calendar page.

Participant Event

  • Just like Service Event except for link/menu back to Group Event

  • Can mark individual attendance, add notes and documents for this participant

Group Service File

  • Just like Service events except for link/menu to Group

Informal Series

  • Workers, Events, Details, and Documents shown in Drawers

  • Left arrow in light blue bar goes to previous page

  • Tapping on Event or Document opens detail page

  • Clicking on green Calendar will always take you to Upcoming Event Calendar page.

Document

  • Documents can belong to events, and all case work entities

  • Details, Flags, and Scores shown in Drawers

  • Left arrow in light bar goes to previous page

  • Menu icon beside name brings up bottom menu to view completed document

  • Clicking on green Calendar will always take you to Upcoming Event Calendar page.

  • Clicking on blue Folder will always take you to the Caseload Views page.

Adding Document

  • When adding a document, you select the document type (note that assessments and documents are combined on this list), the For and the date of the document

  • You can then complete the document fields (same as ClientConnect)

  • Finally, you can review the document and submit it to save or return back to change answers to questions.

Header Menu

Full page Header Menu, menu items described in text.
  • Arrow to dismiss menu

  • Return to Penelope – takes you to full Penelope UX

  • Help – access to help site (currently no specific Penelope Mobile help)

  • Support – open a support ticket

  • Logout

  • Worker’s default site info

    • Link to google maps to get directions

    • Link to call office phone

Known Issues:

  1. Group Events should only show number of members if > 20. Currently truncating list to show only the first 20.

  2. Australian addresses do not show suburb and may not map properly
