How to send a valuation report to your potential clients

Sending a Valuation Report

Once a valuation has taken place, you can locate it either from the main Valuation table from the left side menu or directly from the property page, via the valuation tile on the right hand side that will give you details about the valuation, and also allow you to click the 'view valuation' button to access the valuation page.

From the valuation page, you'll see two options in the 'Next Steps' card: Create Valuation Report and Valuation Did Not Go Ahead.

Completing the Valuation Report

Clicking Create Valuation Report will not send the report immediately, it will instead open the valuation report page. From here you can add the relevant information for the valuation including Recommended Listing Price and optionally a price range showing what you expect to achieve.

Sales valuations include an optional lettings section, and lettings valuations include an optional sales section - useful for giving the owner a fuller picture.

Note - Completing the optional section does not instruct the property for both types; if you need a Sales & Lettings instruction you'll need to cancel and rebook as a Sales & Lettings valuation.

Fees

Next you can add your valuation fees. For sales valuations you can select from any of the Fee Labels and for lettings valuations you can select from any of the Letting Service Levels, as set up in your settings.

Note - When adding feee, ensure your VAT settings reflect how your business operates. This affects how fees are displayed, inclusive or exclusive of VAT.

For sales, these include standard percentage or fixed fees, discounts (such as an EPC discount or a free first month's management fee).

Additionally you can optionally toggle on Performance Fees which allow you to set fees that only apply to the portion of the sale price that exceeds a set threshold.

Note - Performance Fees are currently in testing and only available for Street Labs agents.

For example, you might charge 2% on £200,000–£230,000 and 4% above £230,000.

Valuation Message and Attachments

Next you can edit your valuation message, which pre-populates from your valuation template. Additionally you can add or edit any URL links and videos that are sent with the valuation report, for example a link to your 'About Us' website page or a 'Meet the team' video.

Note - To edit the URL links you will need a role with the permission 'Allow this user to update URL links on Valuation Reports' enabled.

You will also see a toggle to include auction benefits on the valuation. If toggled on, the Pattinson Auction banner will appear at the bottom of the valuation report, giving some benefits of the auction method.

Follow Up Reminder and Branding

Finally you can set an optional follow up task that will appear on the valuation Tasks tab and select which branding to use, from those set up in your Brand Settings.

Sending Options

By default, the report will be emailed to the owner and appear in their Street account however if you'd prefer not to send it, for example if the valuation was booked retrospectively, you can untick Send Valuation to Owner. The report will still be completed and you can progress to accepting the instruction, but the owner won't receive anything.

If you choose to send the valuation report but the owner doesn't have an email address, you will see the 'Confirm Communication Method' popup, warning you that you need to track how the communication was sent for auditing purposes. Here you can mark it as still requirement to be sent (and optionally create a task) or mark it as already sent.

If you want to preview the report before sending / saving, you can click the 'preview' button at the bottom of the report to view it.

When everything is correct, click Complete Valuation to save.

What the Vendor Sees

If you've ticked the 'send valuation report to owner' option, the vendor will receive an email with access to their valuation report via their Street account. From there they can instruct you on the property.

Sending a valuation report as a PDF

To save the valuation report as a PDF, use the Preview button to open it in a new browser window. Alternatively, after creating the valuation report, head to the valuation page and click the 'actions' drop down and select preview from there.

From there, right-click and select Print, then change the destination to Save as PDF.

Marking a Valuation as Lost

If the valuation outcome was lost, you can record this from the valuation page at any point — before or after sending the report. You can add the reason, record which competitor you lost to, and include the price they valued the property at.
