Bulk Update Company Items via Import

Objective

Update the Company Items using the StructShare Bulk Import feature.

Background

As your StructShare usage grows, expands, and evolves over time, you may find a need to update your item records. Whether you want to add a field that you were not previously using, remove information that is no longer relevant, or update the item attributes, adjusting numerous fields across an extensive database can be monotonous.

This process is easy with our Bulk Update Import feature!

Points to Consider

  • System Admin permission required

Steps:

  1. Download the existing Company Item database

  2. Update the Company Item database

  3. Upload revised Company Item database template

Download Editable Company Item Database

  1. On the Company Items page, click the "Download Excel" button in the upper right corner.

Update the Company Item Database

  1. Open the downloaded file in Excel

  2. Update the relevant fields

    • PLEASE NOTE: The Internal Item ID column cannot be changed! This is required for a successful item update import.

  3. Save the file

Upload Revised Company Item Database

  1. Navigate to the Company Items page.

  2. Click on the Upload Items button in the upper right corner.

  3. Select "Update existing items".

  4. Map the columns in the file to the corresponding item attributes in StructShare.

    1. PLEASE NOTE: If an empty column on the Excel file is mapped to a populated column in StructShare, the empty column will overwrite the existing data in StructShare.

  5. Check the "Ignore first row" checkbox in the bottom right corner to ignore the first row column headers.

  6. Once ready, click the blue "Import XX Rows."

    1. The system will advise if the import was successful, or generate an Error Report with the reason(s) why any rows were not successful.
