Objective
Create groupings (catalog categories) for the items in your database
Background
Your Items Database is designed to be a master list of all of the materials that your team members are ordering for all projects. The item’s database empowers your company to create consistency around the items that field teams are requesting, as well as effectively track inventory of these items from both a project and warehouse perspective.
Creating groupings for your items is valuable because it makes it easier for end users to find the items they are looking for. Instead of looking through a list of hundreds or even thousands of items, team members will be able to follow a grouping to find the items they are looking for:
Things to Consider
Item Names MUST include all grouping components.
For example, if you want to group by (Conduit → EMT→ ½”) then the item name must be: Conduit EMT ½”
Users can search the item list when putting together a material request regardless of the grouping.
Simply type in the keywords found in the item and select it when results appear.
StructShare restricts item duplication in your Item Database:
The item database is designed to be a centralized source of truth for item naming and labelling. Because of this, we will not allow duplicated records that share all attributes
Items will need to be unique. You can leverage any of these fields to ensure that items are recognized by our system as unique values:
Item Name
Item Code
UPC
Model #
Manufacturer
Steps:
Build an Excel Spreadsheet for item groupings

This file also contains expanded instruction on grouping your items.
Identify the names of the groups you want your items to fall into and create those in column A.
For example: Conduit, Pipe, Wire, Heavy Machinery, etc.
Identify the sub-groups for each primary grouping and create those in column B.
For example: If Conduit is your first grouping your next groupings might be: EMT, GRC, IMC.
Repeat steps 2 and 3 for the rest of your groupings.
In the final item column, put the last aspect of the item name.
This last aspect might be a color, size, shape, etc.
Send the completed Excel Template to your StructShare point of contact. They will reach back out to you with any questions.
Bulk Edit Categories - We added the ability for you to edit Catalog Categories in bulk in the ‘Items Database’ screen. When you select more than one item in the ‘Items Database’ and select ‘Bulk Edit’ on the right hand side, you will see ‘Categories’ as an option to apply in bulk.
