Yes. You can share a project so others can view it, or let them edit it too. Sharing works for subtitles, transcripts and AI meeting summaries. Here is how it works and what each access level allows.
Sharing via a link (link + QR code)
Link sharing is available on all plans, including personal workspaces:
On the project page, click "Share".
In the share window, under "Link sharing", change the access from "Restricted" to "Anyone with the link".
Choose what the link allows: "Can view" or "Can edit". "Can view" is the default.
Click "Copy link", or share it as a QR code.
The other person opens the link in their browser. No app installation is needed.
What does the other person see after opening the link?
It depends on the link setting and on whether they are signed in:
Visitors who are not signed in: they always get a read-only preview, even on a "Can edit" link. They see roughly the first minute of the project, with a "Preview" badge and a free sign-up prompt to "Save to my workspace". Text cannot be copied in preview.
Signed-in users who click "Save to my workspace": the project appears in their "Shared with me". On a "Can view" link they can read the whole project. On a "Can edit" link they can also edit it.
Inviting members in a team / organization workspace
In an organization workspace, the share window also lets you invite workspace members by name or email. For each member, choose "Can view" or "Can edit". You can change a member's access or remove them at any time. Personal workspaces offer the link sharing described above.
Can we "edit" the same project together?
Yes, one person at a time. Anyone with "Can edit" access can make changes. To keep work safe, only one person edits a project at any moment.
While someone is editing, the others see "[name] is editing this project, so you can only view it for now."
To edit next, click "Ask to edit". The current editor is told, and can click "Hand over".
The project owner can also click "Take over editing". The other person stops editing right away, and any change they have not saved is lost.
Two people cannot type in the same project at the same moment.
A shared workspace with a shared pool of minutes: yes, and it is available now. Several people each sign in with their own account, draw from one subscription's minutes, and can share projects directly with named members of the workspace. It is not self-serve yet — we set it up for you. Email hello@subanana.com with roughly how many people will use it and what you need it to do.
Shares inside a team workspace work the same way as link shares: each person gets "Can view" or "Can edit". For larger organisations, ask about Enterprise with custom pricing at the same address.
Want to hand over files that can be edited in other tools?
If you'd like the other person to keep working in their own tools, export the file from the editor and hand it over. Formats include subtitle files (.srt / .vtt), Word (.docx), Excel (.xlsx), plain text (.txt), Markdown (.md), or a video with the subtitles burned in (MP4).
Disabling a share link
You can turn the link off at any time: change the access back to "Restricted" in the share window. After that, anyone who opens the link sees a "link no longer valid" message.
Note: share links for real-time transcription and translation
"Real-time transcription & translation" has its own separate share link (link or QR code) that lets on-site or remote audiences watch the subtitles and translations live. It's for live events only and is not the same as the project view link described above.
