Our deeper integration with SmartAdvocate is here! We are expanding on the Supio Connector functionality to provide a more seamless experience which handles the heavy lifting of keeping the systems in sync for you, so your users can focus on what matters.
Initial Setup
The following is the set up steps required in order to get the new integration up and running for SmartAdvocate & Supio.
Supio Setup
In Settings > Apps, if your connector is not already configured, click to install the Smart Advocate connector app
As part of this setup, you will be asked to use a SmartAdvocate login to provide authentication to Supio’s system
If you are on a self-hosted version of SmartAdvocate, you will need to provide a base URL to your version of SmartAdvocate. This URL is the address of your SmartAdvocate site with the text “CaseSyncAPI” added to the end. For instance, if your login is https://sa.example.com/SA/, the base URL is https://sa.example.com/CaseSyncAPI.
Define Case Type mapping
In order for Supio to know how to create your case, we will need to know which Smart Advocate Case Group you want to use for which Supio Case Type.
The UI will present you with a list of Case Groups from your Smart Adv org, and then allow you to choose which Supio Case Type to map it to.
Determine Automatic File Sync Settings
At the bottom of the settings page for the Smart Advocate Connector, there is a toggle for automatic file sync. Firms can determine whether they would like to enable the feature or not.
Note: not enabling file sync will not prevent cases from being synced over, it will just exclude any files from being uploaded during the process
When enabled, you will be presented with 2 options on how to set up the file sync
Sync all files
This will always attempt to add all supported files to Supio when the case is created or updated with new documents.
This is the best option if you do not have any files you would like to exclude
Sync according to category or subcategory
Admins are able to choose a specific category with an optional subcategory for which documents attempt to sync into Supio
For those firms which have specific folders such as only medical or who want to exclude certain files, having more precise control via these settings is a good option.
Setting Up Case Sync
Setup in Smart Advocate will mainly comprise of 2 choices:
Choose sync flag
Determine what will be the flag in Smart Advocate to tell Supio that a case should be synced to Supio
More details below on the options
Optional: Create automation which applies sync task or note automatically
Choosing a sync flag is required, and admins may want to also create an automation which applies the flag to the Smart Adv case automatically so that uers do not need to add the flag manually
Choosing Sync Flag: The Supio integration supports 3 ways of syncing a case to Supio
Setting a tag (Recommended)
The tag must contain the exact text “supio case sync”. See below for instructions on creating the tag in SmartAdvocate
Additional tags users can add to cases to more easily select package type and demand letter type.
"supio chronology": chronology + deep dive
"supio liability demand": chronology + deep dive + liability demand letter "supio uninsured demand": chronology + deep dive + uninsured (UM) demand letter
"supio underinsured demand": chronology + deep dive + underinsured (UIM) demand letter Existing
"supio case sync" tag is still supported. Using this tag is equivalent to the "supio chronology" tag.
Add a task
Task must contain exact value as subject, e.g. “supio case sync” or "supio liability demand"
Add a note
Note must contain exact value as content, e.g. : “supio case sync” or "supio liability demand"
Note: If you are self-hosting Smart Advocate, your version may not support tags. As a temporary workaround, it is possible to use Smart Advocate’s automated procedures to automatically generate a note when a case is tagged. More information is available in the Supio SA Integration Automation Setup Instructions.
Setting up the Supio Case Sync Tag
From the Admin menu, select the “Picklist Maintenance” option.
From the list on the left side, select “Case Tags”, and then click the “Add New Item” button.
Enter the exact text “supio case sync” for the name, and ensure the “Active” box is checked. Click “Update” to add the tag.
Case Creation
The Supio Smart Advocate integration uses API calls into Smart Advocate in order to determine which cases and files to add to Supio.
Twice a day, new cases will be added to Supio according to the case flag, and their files will be added according to your file sync settings.
Once those cases exist in Supio, they will be connected to the Smart Advocate case so that any new documents added to the case will automatically get sent to Supio for processing. You will have the option to manually add new files from the Supio side via a case update if so desired.
Automatic File Sync
Once a case is synced via the integration, and automatic file sync is enabled for the case, any new files which are uploaded to Smart Advocate will automatically be added to Supio for processing. These files are treated as an update and will enter the queue for updating chronologies or case economics.
File types supported via automatic file sync: Pdf, doc, docx, jpeg, jpg, png, tiff
Note: only cases created after v1 launch are eligible for automatic file sync.
We’ve added some tools into Supio to help manage and gain visibility into the integration.
Connector Settings for Automatic File Sync
A new feature has been added to the file list, which will only be exposed to cases which have been created through the integration. When viewing a case which has automatic file sync enabled, in the File List, there is an additional button for File Sync.
Opening this will reveal a set of controls for the file sync feature, including a toggle to turn it on or off for the specific case, as well a button to force the sync from Smart Advocate. This can be used if you urgently need to get some files in the system.
Should any files fail to upload, a button will display here which can be used to get to a list of files and their file paths to either retry or to upload manually.
