Overview
Supio integrates with a variety of document management systems (DMS) and case management systems (CMS) to bring case files directly into your Supio workspace. During case setup, you can connect to one or more of these systems, select specific folders or file locations to import from, and — where supported — enable Auto-Sync to keep your case files up to date automatically.
This article covers how file sync works across all supported connectors.
Supported Connectors
How Auto-Sync Works
When you create a case in Supio and connect it to a DMS or CMS, you have two options for importing files:
Manual selection — Browse and select specific files or folders at the time of case creation. Supio imports those files once.
Auto-Sync — Enable ongoing monitoring for one or more folders. Supio will check those folders twice daily and automatically pull in any new files added after the case is created.
Auto-Sync is configured per case and per folder during the case setup flow. You can activate it on some folders while leaving others on manual-only import.
The Sync if newer checkbox controls how Supio handles files you select that are already loaded into the case. If the file in the source folder is newer than the copy in the case, Supio will add the updated version with “supplemental” appended to the filename.
How to Get Started
To begin syncing files from a connected system:
Connect your DMS or CMS to Supio during case setup.
Browse the folder structure and select the folders you want to import from.
Enable Auto-Sync on any folders you want Supio to monitor for new files.
Confirm your selections — Supio will begin importing files immediately.
Choosing Which Folders to Sync
Selecting the right folders upfront helps keep your case workspace clean and ensures Supio surfaces the most relevant content.
Note: We recommend selecting only the folders you are confident contain files relevant to your case that Supio can process. Syncing large or broad folder structures can introduce unnecessary files — such as administrative documents, duplicates, or unsupported file types — which can affect case organization and slow down processing.
Before enabling Auto-Sync on a folder, consider:
Does this folder contain documents directly related to this case (e.g., medical records, police reports, correspondence)?
Are the file types in this folder ones that Supio supports (e.g., PDFs, Word documents, images)?
Is the folder scoped to this case specifically, or does it contain files from multiple matters?
DMS Connector Details
For document management systems — SharePoint, Box, OneDrive, and Dropbox — Supio presents your connected account’s folder structure as a browsable tree during case setup. You select which folders to import from and optionally enable Auto-Sync on any of them.
A few things to keep in mind across all DMS connectors:
Permissions matter. Only folders that your connected account has access to will appear. If a folder you expect to see is missing, verify that the authenticated account has the necessary permissions in the source system.
Shared and co-owned folders are accessible if the authenticated account has been granted access — this applies to shared drives in SharePoint and OneDrive, shared folders in Box, and shared Dropbox folders.
OneDrive supports both personal and Microsoft 365 business accounts. If your firm uses OneDrive for Business, the folder selection and Auto-Sync behavior is similar to SharePoint. Make sure the connector is authenticated with the correct account before selecting folders.
CMS Connector Details
CMS connectors differ from DMS connectors in an important way: rather than browsing a file folder hierarchy, you are selecting from document categories or record-level document locations structured by the case management system itself.
You or your Supio administrator can configure default folder sync settings at the firm level. These defaults can pre-select folders when a new case is created, reducing the need for manual configuration each time. Settings include:
Which folders are synced by default for each connector
Whether Auto-Sync is enabled by default for new cases
Contact your Supio administrator or Customer Success Manager to learn about the defaults configured for your organization.
Litify
Litify is a Salesforce-native platform. File sync in Supio pulls documents attached to Litify case (matter) records. During case setup, you select which document categories or locations within the Litify matter record you want Supio to sync. Auto-Sync will monitor those locations and pull in any newly attached documents as they are added to the record in Litify.
SmartAdvocate
SmartAdvocate organizes documents by folders and document category. Your SmartAdvocate connector can be configured to organize files either by folders or categories.
During case setup, you will see documents listed by categories or folders within the SmartAdvocate case. Auto-Sync will detect newly added documents within those categories or folders and import them into Supio.
Company Defaults for Folder Sync
For document management systems, you can enable or disable Auto-Sync globally for your company. You also have the option to select a root folder, which will appear as the base folder visible when team members create or update a case.
For case management systems, administrator-level defaults can pre-configure which folders are synced and whether Auto-Sync is enabled for all new cases created under your organization.
FAQ
Can I enable Auto-Sync on some folders but not others?
Yes. During case setup, you choose which folders to activate Auto-Sync on. Folders
without Auto-Sync remain as manual imports only.
Can I change my folder selection after a case has been created?
Yes, however you cannot disable Auto-Sync for folders already selected. You may only add folders to be auto-synced.
What file types does Supio support?
Supio can process a range of common legal document formats including PDFs, Word documents (.docx), and images. Files outside of supported formats will not be processed even if they are synced.
What happens if a file is deleted from the source folder?
Supio does not automatically remove files from a case if they are deleted from the source system. Please reach out to your Customer Success Manager for assistance with removing files.
Can I connect more than one DMS or CMS to a single case?
This depends on your Supio configuration. Contact your Customer Success Manager for guidance.
