The "Wink-Wink" feature in Talisman is an automated drip feed marketing tool designed to nurture candidates or contacts with a pre-set series of emails. Unlike sending individual bulk emails, this campaign follows up based on a set schedule and conditional logic.

1. Setting Up the Sender (Permissions & Limits)

Before creating a campaign, you must establish who is sending the emails and their sending constraints. This is essential for managing daily email volume.

  • Access Sender Settings - Navigate to the main Wink-Wink dashboard and click into the "Campaigns" section. Then, click the Cog icon, popularly known as “settings” on phones in the top-right corner.

  • Create a New Sender - Click "Create New Sender" and input the Sender Label (Name), Email, and optionally set a Daily Limit to restrict how many emails this sender can send per day.

  • Set Campaign Frequency - Define the Number of sends (the total number of emails in the whole sequence) and the Frequency (e.g., every 1 minute) to control the speed of the campaign.

  • Set Campaign Time/Days - Restrict the window for sending emails (e.g., between 09:00 and 17:00) and select the Campaign Days (e.g., weekdays only).

  • Toggle To Active - Ensure the new sender is toggled "On" in the Sender Settings table to activate their ability to send campaign emails. And you can edit the campaign with the “pen” icon if you would like to:

2. Creating the Campaign Sequence

The campaign itself defines the target audience, the trigger, and the sequence of emails.

  • Initiate New Campaign - On the main Campaigns page, click "Create New Campaign." Input a Name, specify if it's for a Candidate or Contact, and select the Campaign Consultant.

  • Define the Audience Statuses - This is the crucial trigger. You select the Candidate/contact Status a person must be in to start receiving the campaign (e.g., 'Pending'). Then, if the candidate/contact is in this campaign and moves out of this candidate/contact status, then will not progress any further through the campaign.

  • Configure Step 1 (Initial Email) - Select the Email Template for the first email (e.g., 'Amber Reviews Mailer'). The first email sends immediately upon being added to the campaign if the sender settings allow.

IMPORTANT! - If you are planning to send Campaigns, please make sure the email template you use has the "Send As" selected, and the "Use Signature" box ticked. This is to WinkWink knows which signature should be added at the bottom of each template.

  • Configure Step 2 (Follow-up) - Click "Add Another Step" at the top. Set the Wait time before sending (e.g., 1 week). Select the Email Template for the follow-up message.

  • Save and Activate - Re-confirm the sender/from details, then Save the campaign. Once saved, it will appear in the main Campaigns list:

3. Adding People to a Campaign

Once the campaign is active, you can add individuals in bulk or one-by-one.

  • Bulk Add from Search - Perform a Candidate/Contact Search or go to a Favourites List. Select the desired records, click the "..." or “three dots” icon, select "Add to campaign," choose the active campaign, and click "Add."

  • Individual Add from Profile - Navigate to an individual's profile. Scroll down to the "Campaigns" section under the Marketing tab. Click "Select," choose the campaign, and click "Add."

  • Monitor Status - The profile will now show the campaign name and the Next Send time. If the candidate or contact status changes, they will be automatically removed from the campaign. You can manually stop the campaign here if needed:

To quickly check the progress of any candidate or contact in a campaign, simply hover your cursor over the 'i' icon, as seen below. This will immediately show you the exact stage they are currently in within that specific campaign and when the last email was sent to them.

4. Monitoring and Review

The Wink-Wink dashboard gives you critical insight into email performance.

  • Bounced Emails - This lists all emails that failed to deliver (e.g., invalid address). You can filter by the sender or signature used.

  • Hot Leads - Shows people who have clicked or opened your emails multiple times (e.g., clicked twice, opened five times). This signals high engagement.

  • Campaigns List - Displays all your created campaigns, including who it's for (Candidate or Contact) and the assigned Campaign Consultant.

  • Diary Log - Provides an audit trail of every automated email sent by the campaign, including the time, subject, and the recipient.
