What good is data if it isn't correctly organised? We use profile codes in Talisman to help you segment your data and enabling you to find perfectly suited candidates for your roles quickly.
There are multiple levels of codes and they are:
Levels
Disciplines
Profile Groups
Profile Categories
Profile Codes
Levels & Disciplines (Candidate only)
*If you would like help customising your disciplines and levels, please reach out via the Support Chat.
At the very top of your segmentation capabilities, you will have Levels and Disciplines. Now although you can customise Talisman to be exactly what you want, we do have some examples of how these can be used effectively for all types of recruitment companies.
Disciplines - think of these as the highest umbrella category of the Candidates Industry. It is a single option categorisation, so do not use this for anything that could be multi-option (save that for Profile Codes). For example I have: Architecture, Automotive and Education as the 3 areas I recruit within. So all my Candidates will all only sit under one discipline.
Levels - this can be used to indicate the level/seniority that the Candidate is within their position. For example, if I was an Education Recruiter I might want to put options such as "Head of Year", "Head Teacher" or "Teaching Assistant". I could also use this to rate the quality of my candidate, for example "High", "Mid" or "Low". This option is also single selection, so only include options where a Candidate can have only one.
Groups, Categories and Codes (Candidates, Clients, Contacts & Jobs)
Moving on into the universal tagging options, the world is your oyster with the multiple ways you are able to tag up your data! When it comes to creating your tags, their is a hierarchy to bare in mind:
Groups
Categories
Codes
Profile Groups allow you to build a set of tags. For example, you might want to use the same Categories and Codes for your Candidates and Jobs, but different options for your Clients and Contacts. So you would create two groups:
E.g:
"Candidate/ Job"
"Client/ Contact"
You can do this by going to Menu -> Admin Manager -> Profile Groups. From there you can create new ones by selecting "+ Add Profile Groups" and creating a name, then selecting your Profile Categories (if you haven't made them yet, press "Update" and come back later to add them in).
Profile Categories is the next level below groups which provides further specific groupings of categorisation. An example of this could be "Skills", "Qualifications" or "Functional Expertise". You can then assign these to different groups depending on what you require in each. For example:
I might want to have "Functional Expertise" for both "Candidates" and "Contacts". But "Skills" I only use for Candidates. So I could have:
Groups: | Categories |
Candidate |
|
Client |
|
It allows you to share one Category across multiple Groups, as well as the option to create a Category of Codes that you only want one specific Group to use.
You can create Categories by going to Menu -> Admin Manager -> Profile Categories . Any existing Categories you can select and edit To create new select "+ Profile Category" and press "Update" once done.
Profile Codes is the final level which is essentially the specific details you want to tag a Client/Contact/Candidate/Job with. For example, under the"Skills" Category I could have "B2B Experience", "B2C Experience" or "Team Management".
You can create Codes by going to Menu -> Admin Manager -> Profile Codes. Any existing Codes you can select and edit/ re-assign to Categories. To create new select "+ Profile Code" and press "Update" once done.
Assigning Profile Codes
You can assign profile codes at any point, but it is always good to get into the habit of making this a priority when adding the record for the first time.
When adding a record (for the example below I am using the Talisman Chrome Extension). Scroll and select the "Profile Groups" first then you will have all the Profile Codes available to select in the "Profile" field.
To add Disciplines, Levels and additional Codes you can go into the record and on the right select the "Profile" widget edit button.
Top Tip! If you aren't sure which Category the Code falls under, use the "Quick Add Profiles" at the bottom of the pop-up and start typing/selecting. Remember to press "Save" at the bottom.
