The CV Queue is a way to essentially traffic control the quality of new CVs coming into your system. This can be used as a simple email forwarder queue, or can be linked up to your website/job board to auto-send CVs into your Talisman CV Queue for your team to review.
Step 1: Setting Up the CV Queue
We highly recommend reaching out to us to help set up your CV Queue. If you are just wanting training on how to use it, please go to "Step 2: CV Queue Actions" below.
The CV Queue Email
At its foundation, the CV Queue can start to be utilised with a unique email address that every Talisman system is given. This email is usually *your site code*-Cv@talisman-web22.com. For example:
If my site was TALI01.Talisman.Tech my email could be Tali01-Cv@talisman-web22.com.
Please check this with Support first, as on rare occasions yours might be slightly different depending on if that unique email is available.
Subject Line Rules for Allocation
When you are forwarding a CV to the CV Queue, you can utilise the allocation rules which define:
Which Job is this Candidate suitable for?
Which Consultant will be named as the Candidate Owner?
The system can recognise this, with a requested Talimate (automation).
If you have not yet set up your CV Queue linking for your Website/Job Board. Reach out to our Support team via the Live Chat, and we can help you set this up and provide your Consultant codes.
Setting Up a CV Queue Rejection Email Address
Occasionally the CV Queue will spit out CVs. The reasoning for this is often either:
The CV format can’t be read (heavily formatted)
The CV already exists somewhere within the CV Queue
Because of this we recommend setting up a CV Rejection Pipeline Email, for you and the team to be notified of this. Most of our clients usually use an Admin@ or Info@ email, but you can have this as anything you prefer.
If you have not yet set up your CV Queue Rejection Pipeline Email, reach out to our Support team via the Live Chat, and we can help you set this up.
Step 2: CV Queue Actions
To access the CV queue, go to Menu -> Candidate -> CV queue (we recommend pinning this to your sidebar for quick access).
When you start getting CVs flowing into the CV Queue, you will be able to make 3 key decisions on the next part of the CVs journey through Talisman:
Reject
Delete
Process
Please note CVs will disappear from the list after 7 days as standard. Please check with your company’s Super User if this has been customised.
Reject Vs Delete
When you Reject a CV in the CV Queue, this is a way to create/update the Candidate in Talisman, in cases where you don’t think they were suitable for the Job Role they applied to.
When you Delete a CV in the CV Queue, this will not create/update the Candidate in Talisman, and will remove them from the CV Queue.
You can Delete/Reject Candidates in bulk or individually by selecting the tickbox next to the CV you wish to action -> select the 3 dots at the top -> Reject/Delete Selected.
Process
For the great CVs, you can get them into the system and shortlisted to the Job they applied for all in one go by using the “Process” action.
The next screen you will be taken to is the “Add a Candidate” screen where you can review the parsed information and view the original email application details in case of any changes you need to make. Click “Next” at the top when you are happy.
From there, you will be taken into the standard “New Candidate Record” screen where you can add in any additional information, such as Profile Codes, Comments, Pay Details, Compliance etc. Once happy, click “Update” and your candidate will now be in Talisman, and shortlisted for the job they applied to.
Identifying Duplicates/Updating Existing Records Through CV Queue
It’s not uncommon for CVs to be re-sent when that candidate already exists somewhere in your system. The CV Queue focuses on key fields like First & Last Name, Email, Post Code, Job Title etc. to try to find if the Candidate is already in Talisman.
When possible duplicates are identified, Talisman will notify you at the point of processing and take you to the below screen:
Listing any possible matches, you can decide if the candidate is the same or new. If they are a new candidate, you can follow the previous steps in “Process”.
If they are in fact a duplicate, you can select the existing profile in the “Update” column, and select “Next” at the top of the page.
The next screen will display any data in the CV that is different from what you currently have on the Candidate’s Record. You can overwrite existing information by ticking the “update” column tickbox’s. Anything you leave un-ticked will remain as it currently is. Click “OK” once you are happy.
We hope this article has helped with the questions you had. If you have any further questions, please reach out to our Support team who will be able to assist further by selecting the help icon in the top right of your Talisman instance, then "Live Chat".
