Candidate Registration Workflow
Step 1 - Assign SSO rights to Candidates
The candidate portal is only accessible to assigned users, this step ensures access has been granted to candidates for seamless login flow. Open up the Candidate Personal tab, look out for the 3 dots to the right of “Add Diary”
Click on the dots to expand the options, select “Add User Login”
The page below will be displayed. Review that the details are correct with how you wish to set-up the user. Mandatory fields such as Forename, Surname, Email address & Phone number will be automatically populated. To proceed click “Update” at the top of the page to create the candidate's login.
The page below will confirm the Candidate's login is up and running.
Step 3 - Invite Candidates to register
Following the completion of Steps above, you have now successfully set-up the portal for your candidate. Now you will need to inform the candidate how to log-in.
The standard flow at this point will be for the consultant to send out an email to the candidate asking them to set their password. As this instruction may be different per your compliance/onboarding process, it is suggested this template is created custom for your individual flow. But an example could be:
"Hi %cand_forename%
You have been invited to %company_name%'s candidate portal where you are able to add in your availability, review your bookings and upload/sign documents required for your onboarding. Please visit XXXX.talisman.jobs and press "forgot password" to set your password.
Please Note: Your portal site will be unique to your company, so make sure to update that in your email.
Step 4 - Candidate Portal Login
The candidate receives an email and clicks on the link to access the portal.
Following instructions received in the email, the Candidate clicks the “password reset” and receives another email with a link to “reset password”.
After completion of these steps by the Candidate, they will be able to login to the Candidate Portal.
Step 4 - Candidate Portal Self-login
The Candidate portal is a self-service portal where candidates can update personal information, upload documents, review applications and manage their availability for jobs.
The landing page below is displayed upon successful login.
Note: If you try to log into the Candidate Portal on behalf of one of your candidates after setting up, we recommend doing this in an Incognito browser. The reason being is if you do this in the same window you have your Talisman site open in, it can sometimes come up with an error code due to the conflicting login information.
Update personal information
Select “My details” tab and click on the Edit/Pencil icon to complete personal details as shown below. The Candidate can also fill out details on salary expectations etc
Upload Documents
This is a key part of the registration process, to proceed, select the “My Documents” from the landing page. This section also shows all existing uploaded documents for the candidate. Click on “Upload New Document” to proceed.
All required documents are uploaded to the portal by the Candidate.
Step 5 - Document Tagging by Consultant
As documents get uploaded by the candidate,the consultant can review the documents and retag appropriately.
To view each document, simply click on the eye button, review and then put the correct set of tags on the document to process.
IMPORTANT! - Any document with the "PORTAL" type will be viewable to the Candidate. If any documents are uploaded that you would like to restrict candidate viewing access on, please do not tag them with "PORTAL" type.
Step 6 - Document Signing
Part of the Talisman portal include a fully integrated signing software. You can build, customise and send out documents for a Candidate to digitally sign. All recorded in the diary, and a watermark stamp over the document to state the date and time the document was signed.
Simply apply the tag "UNSIGNED" to a document, and this will appear in the candidate portal for the Candidate to digitally sign.
Once the document has been signed, the document will move to "SIGNED" tag and when you view the document a watermark will appear:
