Administration: Driver Settlements

Track and manage payments between your business and the drivers you assign jobs to

The Driver Settlements feature allows you to track and manage financial settlements between your business and the drivers you assign jobs to, giving you a clear overview of what is owed on completed rides. It includes detailed settlement records, filtering options, and downloadable PDFs to support accurate administration and accounting.

Access this section by navigating from Administration > Driver Settlements from the left sidebar


Driver settlements are available on Pro and Full plan.


Perquisites

Before using Driver Settlements, it is mandatory to Enable these two options in Settings → Driver Settlements .

  • Enable Commission Tracking

  • Auto Generate Settlements Invoices for Drivers

Settlement invoices are only generated when both the conditions are met:

  • A ride is completed

  • The ride is assigned to a driver.

Driver Settlement Overview

There are three Tabs in this section:

Open Driver Settlements

This tab contains draft settlement invoices that are still active and automatically managed by the system.

When rides are assigned to drivers and completed, they are added to settlement invoices based on your configured grouping settings. As long as the settlement invoice remains open:

  • New rides may continue to be added

  • Changes to rides(e.g, changes to commissions) automatically update the settlement invoice

These settlement invoices are still considered work-in-progress and have not yet been finalized.


Pending Settlements

This tab contains settlement invoices that the system considers complete and ready for review.

At this stage:

  • No additional rides are added to the settlement invoice

  • Settlement invoices can still be manually edited

  • Additional adjustments or costs can be added if required

  • Settlement invoices can be finalized after review

If needed, the Regenerate option recalculates the settlement invoice using the latest ride information.


Settlement History

This tab contains all finalized settlement invoices.

Once a settlement invoice is finalized:

  • It becomes part of the permanent settlement history

  • It can no longer be edited

  • It serves as the final accounting record between the business and driver

From this section, you can review past settlements, download PDFs, and track completed settlement records.


Driver Settlement Invoice Process

Step 1 — Generate Draft Settlement Invoice

The settlement process begins automatically once rides are completed and assigned to drivers. Based on your configured grouping settings, the system prepares settlement invoices containing driver earnings, commissions, and outstanding balances.

From Open Driver Settlements, select the settlement invoice(s) you want to process and click Generate Draft Invoice. This creates a draft version of the settlement invoice while still allowing changes and updates before final approval.

Step 2 — Review Pending Settlement Invoice

After generating the draft, the settlement invoice moves to Pending Settlements, where operators review the invoice before sending it to the driver.

At this stage, you can:

  • verify driver earnings,

  • review commission calculations,

  • check totals and balances,

  • add manual adjustments if required,

  • or regenerate the calculation if ride details were updated.

Step 3 — Finalize Settlement Invoice

Once everything is verified, select the invoice through the check box and click Finalize Invoice to complete the settlement process. The finalized settlement invoice is then locked from further editing, sent an Email to the driver, and a copy to the business owner. It is automatically moved to Settlement History.

Step 4 — Settlement History

In Settlement History, all finalized settlement invoices are stored as permanent accounting records, where they can be reviewed or downloaded again at any time.


Settlement Invoice Overview

The generated settlement invoice PDF provides a financial breakdown between the business and the driver for completed rides. Depending on the ride payment flow and commission setup, the settlement invoice can contain either commission charges, driver payouts, or both.

A settlement invoice for a driver can include:

  • Driver cut amounts — amounts the company owes the driver for rides where the payment was collected by the company instead of the driver (for example: online card payments or on-account rides).
    These usually appear as negative amounts on the settlement invoice.

  • Commission amounts — amounts the driver owes the company based on configured commission policies.
    These usually appear as amounts with no negative sign on the settlement invoice.

The settlement invoice PDF can include:

  • invoice number,

  • invoice date,

  • driver and company details,

  • ride references,

  • VAT information,

  • commission or payout breakdowns,

  • subtotal and total amounts due.

This provides both the business owner and the driver with a clear settlement summary for accounting and payout purposes.

Settlement List Overview

Each settlement row, in each tab displays:

  1. Invoice Date – The date the settlement was created

  2. Contact – Driver name associated with the settlement

  3. Email – Driver’s contact email

  4. Status – Current state (e.g., Draft, Pending, Completed)

  5. Amount – Settlement amount (e.g., to receive or payable)

  6. Tools – Actions such as downloading a PDF or accessing more options like Finalize Invoices and delete Invoices

  • Red amounts: You owe money to the driver/owner

  • Green amounts: You receive money from the driver/owner

Example: A group owner assigns a job with "pay the driver" set to €30 and a commission of €3. After completion, the driver sees +€3 (green) in the portal because they will receive the commission. The owner sees -€3 (red) because they owe this amount to the driver

Use these tools to navigate within this section and download details

  • Calendar inputs (Year/From/To): Display settlements within a specific time period

  • Search bar: Find settlements using keywords or criteria

  • Export: Download settlement data for reporting or record-keeping.
