School forms, templates and shareable links

How to create forms outside a class, reuse them with templates, share them by link, and control who sees them.

School forms are forms that are not attached to any class — a placement test, an enrolment questionnaire or a consent form that applies to your whole school. They live in the forms library and can be shared with individual prospects and students, including people who do not have a login yet. Your school may use different names for students, teachers and classes. If you don't see the menu items below, ask your admin to check your permissions.

Accessing the forms library

The forms library is only available to admins.

Go to School management → Forms. The library lists every form in your school — both class forms and school-level forms. Class forms show the class name; school-level forms show a General badge.

Creating a school-level form

  1. In the forms library, click Add form.

  2. Enter a name, type, title and description.

  3. Choose the form visibility — Private, Shared or Admin. This controls which staff members can see and fill the form.

  4. Choose who sees the form — Everyone or Selected people only. See the section below for what this does.

  5. Drag the fields you need into the form and mark any of them as required.

  6. Click Save.

The form builder is the same one used for class forms — the only difference is that a school-level form is not attached to a class.

Using templates

Templates let you build a form once and reuse it anywhere. A ready-made Placement test template is included with every school.

  • Save as template — on any form row, saves a reusable copy of that form's fields

  • Add from template — in the forms library or on a class Forms tab, creates a live form from a template with one click. Opened from a class, the new form is attached to that class; opened from the library, it is a school-level form

Editing a form created from a template does not change the template, and deleting a template does not affect forms already created from it.

Sharing a form with a prospect or student

Every prospect and student profile has a Forms tab. It lists the school-level forms that apply to that person, each with a status — Not started, Link shared or Submitted. Once a form is submitted, the date is recorded and you can open the response from the same row.

There are two ways to get a form filled in:

  • Fill on their behalf — opens the form on screen so you can complete it with the person, for example a placement test taken in the office

  • Copy shareable link — creates a private link to the form and copies it to your clipboard

The link is copied, not emailed. Paste it into an email or message yourself. The person opens it without logging in, and their answers are saved against their record. Each link is valid for 30 days and stops working once the form is submitted. Clicking Copy shareable link again returns the same link, so you can safely re-send it.

If a prospect later becomes a student, their forms move with them — a placement test submitted before enrolment stays on their student profile.

Choosing who sees a form

By default a school-level form is set to Everyone and appears on the Forms tab of every prospect and student. If a form only applies to some people — a placement test for one programme, for example — set it to Selected people only and assign it:

  • Assign forms — on a person's Forms tab, tick the forms that apply to them

  • Assign to people — on the form's row in the library, search for students and prospects and assign several at once

A Selected badge on the form's row shows how many people it is assigned to. Unassigning a form never deletes anything — a submitted response stays on the person's profile, and a link that was already shared keeps working.

School-level forms do not appear in the student or parent portal — people reach them through the shareable link, or you fill the form with them.
