How to archive or remove a teacher

Learn how to archive a teacher in Teach ’n Go to remove their access while keeping their profile and historical data.

If a teacher is no longer active at your school, you can archive their account instead of deleting it. Archiving removes their access to Teach ’n Go but keeps all their classes, lessons, and records saved in the system.


Before you archive a teacher

Before archiving, make sure the teacher does not have any active classes assigned to them.

If they do:

  • Reassign the class to another teacher, or

  • Delete any upcoming lessons if they are no longer needed

This ensures there are no scheduling issues after archiving.


How to archive a teacher

  1. Go to People from the left-hand menu.

  2. Open the Teachers tab.

  3. Select the teacher’s profile.

  4. Click the More menu on the right-hand side.

  5. Choose Archive.

  6. Confirm the action when prompted.


What happens when a teacher is archived

  • The teacher loses access to the Teacher Portal.

  • They cannot log in to Teach ’n Go.

  • All historical data (lessons, attendance, notes) remains saved.


How to unarchive a teacher

If a teacher returns and needs access again:

  1. Go to People > Teachers.

  2. Switch to the Archived list.

  3. Open the teacher’s profile.

  4. Click the More menu.

  5. Select Unarchive.

Once unarchived, the teacher will regain access to the Teacher Portal and associated features.

Troubleshooting

  • Archive option not visible? Ensure you have administrator permissions.

  • Teacher still assigned to classes? Reassign or remove upcoming lessons first.

  • Teacher cannot log in after being restored? Confirm the account has been successfully unarchived.
