Archiving students is useful when they are no longer active in your school. This allows you to keep their important records, such as payments, fees, and contact information, without keeping them in your active student list.

Why archive students

Archiving helps keep your system organised while preserving historical data.

  • Data preservation: Student information, payments, and fees remain stored in the system.

  • Subscription management: Archived students do not count toward your active student quota in your subscription plan.

Archive a student

  1. Go to People > Students.

  2. Open the student’s Profile page.

  3. Click More on the right-hand side.

  4. Select Archive.

Before archiving, make sure the student is unenrolled from any active classes.

Bulk archive students

You can archive multiple students at once using the bulk actions menu.

  1. Go to the Students table.

  2. Use filters to find the inactive students.

  3. Select the students using the checkboxes.

  4. Open the Bulk actions menu.

  5. Click Archive.

This is useful when cleaning up large groups of inactive students.

View archived students

To see archived students:

  1. Go to the Students table.

  2. Change the Status filter to Archived.

You will then see the full list of archived students.

Unarchive a student

If a student becomes active again:

  1. Open the student profile.

  2. Click More.

  3. Select Unarchive.

The student will then return to your active student list.

Archiving students helps keep your system organised while preserving valuable historical information in Teach ’n Go.
