Teach 'n Go allows you to control who can see the attachments and notes you add to student profiles, classes, and lessons. This guide explains the three privacy levels and how they affect visibility for admins, teachers, staff, students, and related contacts.

When adding a note or uploading an attachment, you'll choose from three privacy options.

Only the school admin(s) can view the note or attachment.

This option is useful for information that should stay within the teaching team but doesn't need to be shared with students or related contacts.

Visible to:

Use this setting for materials or notes that students or guardians need to access through the Student/Parent Portal.

Sharing only makes the note or attachment visible in the portal — it doesn't email its content. A related contact with Shared items gets an email alert telling them there's something new to see; they have to log into the portal to actually read the note or open the attachment. If you need someone to receive the full content directly by email, send it separately rather than relying on the Shared setting.

Notify is not a privacy level — it's a separate option that alerts staff (not students or related contacts) that a note needs their attention, regardless of which privacy level the note has. You can notify specific teachers or staff on a Private or Admin note just as easily as on a Shared one; notifying someone never changes who can see the note.
