Automatic reminders help keep students, parents, teachers, and staff informed about important dates and upcoming lessons. This guide explains how to set up reminders, customise messages, and review reminder history.
Reminder types
You can create automatic reminders for several scenarios:
Lesson reminders: Notify students before each scheduled lesson.
Overdue payment reminders: Send a message when a payment becomes overdue after a set number of days.
Class start reminders: Alert students a specified number of days before a course begins.
Class end reminders: Notify students a set number of days before a course finishes.
These reminders help reduce missed lessons and late payments while improving communication.
Setting up reminders
1. Go to automatic reminders
Open school settings page.
Select Automatic reminders from the left-hand menu.
2. Choose the reminder type
Select the reminders you want to activate.
You can send them by:
SMS
Email
Mobile push notification
You can also choose who receives the reminder—students, related contacts, and, in some cases, teachers or staff.
3. Customise the message
Write the reminder message in the text box.
Use variables to personalise each message automatically.
Click the info (i) icon to view the list of available variables.
Common variables include:
{STUDENT_NAME} – student’s name
{SCHOOL_NAME} – your school name
{COURSE_NAME} – class name
{LESSON_TIME} – lesson start and end time
Example message:
Hi {STUDENT_NAME}, this is a reminder that you have a {COURSE_NAME} lesson in 1 hour at {LESSON_TIME}. See you soon!
4. Set the reminder time
Choose the time when reminders should be sent. This applies to all reminders of that type.
5. Save your settings
Click Save to activate your reminder rules.
Your reminders will now send automatically based on the schedule you set.
Reminder history
To review reminders that have already been sent:
Go to Communications
Select the relevant SMS and email history and search for the relevant reminder by name.
Here you’ll see a full record of all automatic reminders sent from your account.
