Can I share resources with just my staff or management?

Admin resource sharing from the web interface

Updated today

Yes! TeachKloud allows you to share resources by room(s) or management/admin staff only in your specific childcare or school service.

If you have multiple locations, you can also choose to share with just one location, multiple locations or all locations. This makes it easy to send the right information to the right people, without notifying everyone unnecessarily.

How to share a resource

  1. Go to Messages in the left menu.

  2. Click Resources.

  3. Click Send resource.

  4. Upload your file. You can upload PDF, JPEG, PNG or MP4 files.

  5. If you have more than one location on TeachKloud, choose which location(s) you want to send the resource to.

  6. Under Visibility, choose who should see the resource:
Admin – this sends the resource only to your TeachKloud management/admin users of the location(s) selected.
Rooms – this makes the resource available by room, making it visible to any staff with access to that room.

  7. Click Send resource.

Can I delete or edit sent resources?

Yes! You can edit or remove (i.e. delete) any sent resource by selecting the three grey dots next to any sent resource.

Example ways services use this feature

  • Management updates
Share resources for Admin users only or by room.

  • Educator resources
Share learning opportunities, plans, activity ideas, curriculum documents or specific classroom procedures with Rooms (educators).

  • Location specific resources
If a document only applies to one service, you can send it to one location instead of all locations.

Why this is helpful

This feature helps services keep communication organised by ensuring that:

  • Staff receive relevant resources only

  • Management can receive important operational updates

  • Educators receive room specific materials and guidance

  • It also allows large organisations with multiple locations to share resources centrally, while controlling who can see them.
