Getting to Know Your Child – Add Custom Questions

Adding custom questions to the enrolment form via the web interface

The Getting to Know Your Child section of the enrolment form includes a set of default questions to help you gather important information about each child. You can keep these questions, edit them, delete them, or add your own custom questions.

Adding a Custom Question

  1. Log in to the TeachKloud Web Portal.

  2. Children > List of Children and use the three grey does next to the relevant child profile to Edit Child Profile.

  3. Navigate to the Getting to Know Your Child section.

  4. IMPORTANT: Review the default questions and REMOVE any questions you do not wish to appear FIRST before adding a new questions and applying to as a default question or the default questions and any newly added questions will be saved to each profile that has not been submitted to parents yet.

  5. Scroll Down > Click Add Another Question.

  6. Enter:

    • A Title for the question.

    • The Question you would like parents to answer.

  7. (Optional) Tick Add this question to all children's enrolment forms (saves as a default question for this school) if you want this question to become a default question for your setting.

  8. Save your changes.

Tip: Default questions can be edited or deleted at any time before sending an enrolment form to parents.

Saving a Question for All Future Enrolment Forms

When adding a custom question, you can tick:

✓ Add this question to all children's enrolment forms (saves as a default question for this school)

This will:

  • Save the question as a default question for your school.

  • Automatically include it on enrolment forms for:

    • Newly enrolled children.

    • Existing children who have not yet submitted their enrolment form.


Important Information About Existing Enrolment Forms

New default questions are not added to enrolment forms that have already been submitted by parents.

If the enrolment form has not been submitted

The parent will see:

  • All of the standard default questions.

  • Any custom questions you have saved for the school.

If the enrolment form has already been submitted

Any new default questions will not appear automatically.

If you need the parent to answer these questions, you will need to add them manually to that child's enrolment form.

Example

Imagine you create a new default question:

"Does your child have a favourite comfort toy?"

  • New children enrolling after you save the question will automatically receive it.

  • Existing children who have not yet completed their enrolment form will also receive it.

  • Children whose enrolment forms have already been submitted will not receive the question automatically. You will need to add it manually if required.
