How to Use the Collection List in TeachKloud
The Collection List feature allows childcare services and after-school clubs to manage school collections, view children's booking sessions and scheduled days, and generate daily or weekly collection lists.
You can also edit collection details and download or print collection lists for staff.
1. Access the Collection List
Admin - log in to your TeachKloud account via the Web Interface.
From the left-hand menu, select Collection List.
Choose from:
Daily Collection – View children scheduled for collection on a particular day.
Weekly Collection List – View children's collection schedules from Monday to Friday.
2. Add a Child to the Collection List
Go to Collection List → Daily Collection.
Click + Add Child Collection.
Enter the child's collection information, including:
Child's first and last name
Collection class (e.g. Junior Infants, Senior Infants, 1st–6th Class)
Booking session(s) and hours
Scheduled collection days (Monday–Friday)
Save the information.
Please note: A child may have more than one booking session. Each session and its corresponding hours and scheduled days can be displayed on the collection list.
3. View the Daily Collection List
Go to Collection List → Daily Collection.
You can:
Select a day: Choose Monday, Tuesday, Wednesday, Thursday or Friday to see children scheduled for collection that day.
Filter by collection class: View children from a particular class or select All Classes.
Search for a child: Use the search bar to quickly find a child.
View booking details: See each child's collection class, booking session, session hours and scheduled days.
The screen also displays the number of children and collection sessions on the selected list.
4. Edit a Child's Collection Information
If a child's collection class, booking session or scheduled days change:
Open Collection List → Daily Collection.
Find the child using the search bar or filters.
Click Edit beside the child's name.
Update the relevant information.
Save your changes.
The updated information will be reflected in the collection lists.
5. View and Print the Weekly Collection List
Go to Collection List → Weekly Collection List, or click Weekly List View from the Daily Collection screen.
Select All Classes or filter by a particular collection class.
View the weekly collection list, which includes:
Child's first and last name
Collection class
Booking session(s) and hours
Scheduled days from Monday to Friday
Total booking days per week
A tick (✓) indicates that the child is scheduled to attend on that day. A dash (—) indicates that they are not scheduled.
You can then select:
Print Weekly List – Print the collection list.
Download PDF – Save a printable PDF copy.
Download CSV – Export the collection information to a spreadsheet.
6. Generate or Download a Daily Collection List
From Collection List → Daily Collection:
Select the required day.
Filter by collection class if needed.
Click Generate List to generate the collection list.
Alternatively, use Download PDF, Download CSV or Copy List to export the displayed information.
Important Information
Collection class refers to the primary school class from which the child is collected.
Booking session hours refer to the child's booked childcare or after-school session in your specific service, not necessarily the time they are collected from school.
Children can have multiple booking sessions, with their corresponding days displayed.
Days per week shows the number of days the child is scheduled to attend, rather than the number of individual sessions.
The Collection List helps staff quickly identify which children need to be collected, their collection classes, their booked sessions and the days they attend, all in one place.
How to Mark a Child as Absent from the Collection List
The Collection List includes an absence feature that allows staff to quickly identify children who do not need to be collected from school on a particular day.
For example, if a parent informs your service that their child is sick or will not be attending, you can mark the child as absent so staff know not to collect them from school.
Mark a Child as Absent
Go to Collection List → Daily Collection.
Find the child using the search bar or collection class filter.
Locate the child's booking session and scheduled day (e.g. Mon, Tue or Wed).
Hover over or click the relevant day badge and select Mark as Absent / Leave.
The selected day will turn red and display ABSENT.
To reverse the change, click the day badge again (i.e. Wed Absent) and unmark the absence (see image below).
Please note: Absences are recorded for the specific child, booking session and date. Marking a child absent on Wednesday will not affect their scheduled collection on Thursday or Friday.
Daily Collection – Absent, Do Not Collect
If a child is marked absent for today's scheduled collection, TeachKloud displays the warning:
ABSENT
This alerts staff that the child should not be collected from school that day.
The warning only appears when the child is scheduled for collection and marked absent on the current day. Previous or future absences will not trigger today's warning.
Weekly Collection List – View Absences
Go to Collection List → Weekly Collection List to see all scheduled collection days and absences for the current week.
The weekly list displays:
Green tick (✓): Child is scheduled for collection.
Red ABSENT: Child is scheduled but has been marked absent for that day.
Dash (—): Child is not scheduled for collection that day.
Absences are also displayed in the Weekly PDF and CSV downloads, making it easy to share or print an accurate collection list for staff.
Important – Collection Absences vs Attendance Records
Marking a child absent on the Collection List does not update or change their official attendance records in TeachKloud.
This feature is used only to manage school collections and help staff avoid unnecessary collection attempts.
If a child is absent, their official attendance must still be recorded separately through the usual TeachKloud attendance process.
