To further increase the security of your work in Teamio, we have enabled two-factor verification on the Teamio login page. This is an effective way to protect your account and data in Teamio. You can log into Teamio in two ways - via verification e-mail or using an authentication app.
1. Login using e-mail verification:
How does it work?
When logging in to Teamio, the user fills in, in addition to the login details, a numeric code that is sent to their e-mail address. A similar security method is used, for example, by banks.
You only need to enter the code once every 30 days on your computer and browser.
What if you can't log in?
· It is necessary that you have the correct contact and login e-mail address in Teamio (it can be changed either in Settings or by a colleague with access to your company's user management)
· We definitely do not recommend sharing login details with multiple users.
· For security reasons, the numeric code is time-limited and is valid for 15 minutes, so we do not recommend using e-mail addresses with set forwarding or any type of delay.
If I don't receive an e-mail, how long should I wait before trying again?
We send an e-mail from Teamio within 5 seconds. However, there may be a delay on the recipient's side (often as a part of spam protection). As a rule, the e-mail should arrive within a few minutes. (Please check your spam folder as well.)
Please note: If you request the code to be sent again, all previously sent codes will be invalidated. So it's important that you use the most recently generated code. If Teamio sends an invalid code to you, it's possible that you have had more than one code generated.
What if I receive e-mails, but with a delay?
1. Check your e-mail client to see if you have set up your e-mails to be refreshed every 30 minutes, for example.
2. Ask your IT department whether your company is set up to receive e-mails only at specific time intervals.
3. If you have set up forwarding to another e-mail client (e.g. Gmail), please look directly at the priority e-mail inbox from where the e-mails are forwarded. Forwarding delays e-mails.
4. Often, the problem is that your company server refuses to accept e-mails from Teamio. Therefore, you can contact your IT department to verify whether the Teamio domain is included in the list of allowed domains. Please share the following information with your IT department: IP: 192.174.88.216, hostname: mta-88-216.sparkpostmail.com, provider: Sparkpost, possible sending domains: @teamio.com, @app.teamio.com, @recruit.teamio.com, @teamio.eu, @my.teamio.com, @research.teamio.com, @marketing.teamio.com and @account.teamio.com.
What if I don't receive my code at all?
1. Please check your e-mail first, including your spam folder.
2. Think about whether you have received e-mails from Teamio before. For example, notifications, invitations to webinars... If you've never received an e-mail from Teamio, you probably have a different contact e-mail address listed in Teamio. Ask a colleague who has access to Teamio and user management permissions to look at your contact details. They can even change them directly if they have permission to do so.
3. If all of the above methods fail and it's been a long time since the code was sent, write to your sales representative or to pomuzeme@teamio.com to check it out.
4. Often, the problem is that your company server refuses to accept e-mails from Teamio. Therefore, you can contact your IT department to verify whether the Teamio domain is included in the list of allowed domains. What if we have multiple users with the same contact e-mail address in the company?
Unfortunately, this is a very complex and non-standard situation. The ideal solution is for each user to have their own contact e-mail address in Teamio. However, we have tried to make logging in possible even in such situations.
· If you have access to a shared contact e-mail address, the contact e-mail address will receive the code along with information about which user the login code was generated for.
· If you have at least a unique login e-mail address, you have the option to choose whether you want to use either your contact or login e-mail address to receive the code.
2. Login using authentication app:
This is a convenient way to log in using an app, even if, for example, you are unable to log in using the first method via verification e-mail. There can be several reasons (e.g., you cannot use e-mail at that moment, the e-mail is delayed, you want to use a more secure method, etc.), which is why we also offer this second method of two-factor verification.
How does it work?
For this login method to work, you need to download an authentication app (e.g., Google/Microsoft authenticator). With this app, you will then scan a QR code in Teamio and enter the numeric code during login, which will allow you access to Teamio.
ℹ️ The app works for both web and mobile applications (Android, IOS).
WARNING: For the app to function correctly, you must first set it up in the web version of Teamio. Once you go through this setup, this login method will work correctly.
Step 1 - setting up the authentication app in the Teamio web browser. Go to Settings -> Profile -> Two-factor verification
Step 2 - scan the QR code using the downloaded app (e.g., Google/Microsoft authenticator) and enter the numeric code generated in the app.
Step 3 - after scanning the QR code in the app (e.g., Google/Microsoft authenticator), a 6-digit code will be generated, which you will enter in Teamio settings. Subsequently, the code will be generated automatically in the app whenever we require verification.
After these steps, you will have the verification method set up in Teamio for logging in via the authentication app.
ℹ️ PLEASE NOTE. You enter the code from the authentication app once every 30 days when logging into Teamio.
💡If you do not have your phone with you and cannot check the generated code. You still have the option to verify using
your e-mail address.
If you want to cancel this method of verification, just click on the Cancel verification field in the Two-Factor Verification settings. In the next window, you simply confirm the deletion.
ℹ️ PLEASE NOTE. Even after deletion, you can set up the verification method through the app again at any time.
3. Why are we doing this?
Although Teamio is secure, it is advisable to strengthen security in today's world threatened by cyber attacks. One of the key elements of security is two-factor verification, as it helps mitigate the risk of users whose credentials have been compromised as a result of various leaks or as a result of infection with a computer virus. We know from our experience that there are extensive databases of user data including passwords for specific services that attackers can purchase.
We strongly recommend that you have an up-to-date antivirus system on your computers and check your security measures, especially when it comes to using passwords, downloading spam attachments, etc., that can prevent unauthorized access to information about you or your users.
