Rejecting a candidate

How to reject a candidate – individually, in bulk, and with delayed sending.

After each round of interviews or anytime during the selection process, you can reject a candidate. You have the option to contact the candidate to inform them that they did not succeed in the selection process immediately or with delayed sending (see below).

Rejection reasons

In the context of the Rejecting a candidate action, you can also select the reason for rejection. If a candidate responds again, you will then see in their history why they were rejected. Additionally, in Teamio statistics, you can find a chart of reasons for rejection and thus evaluate your recruitment campaigns.

Delayed rejection

In Teamio, you can move the candidate to Rejected status immediately, but the rejection e-mail will be sent to them on the day you choose. You can use delayed sending, for example, when it becomes clear to you immediately after the candidate responds to the vacancy that this person is not suitable for you. In Teamio, you want to reject them, but at the same time, you need the rejection message to be sent a few days later, so it looks like you carefully considered their CV.

Cancellation of delayed rejection

If you happen to change your mind about rejecting a candidate later, the delayed sending can be canceled at any time before it is sent. By moving the candidate back to the desired recruitment step.

You can subsequently verify the cancellation of the message in the candidate's activity history.

Automatic rejection - the candidate re-applies for the same vacancy

If it happens that a rejected candidate re-applies for the same position again, for example from another source, they will remain rejected in Teamio. You do not have to go through their CV again and make a decision since you will have already seen and rejected them once.

This is the default setting in Teamio. If you want to change this setting, contact us and we will turn off automatic rejection for you.

Turning off this setting may be useful if you are posting what is referred to as a collection/database vacancy (one that is always open and you are continuously hiring several people for the same position over a longer period) and you wish to give a chance later to those who were rejected for this vacancy in the past.

After changing this setting, you will see candidates who were previously rejected when they re-apply for the same position as unevaluated.

Bulk rejection

If a bunch of unsuitable candidates apply for the position, you do not have to reject them one by one. You can use bulk rejection. You mark all unsuitable candidates and select Reject in the top bar.

Rejection e-mail

Even if you reject candidates in Teamio in bulk, they may not even realize it. The key to success is not to make the rejection message too general. Teamio can automatically fill in the greeting or the correct vacancy name in bulk e-mails, even when you are writing to candidates who applied for different job ads, thanks to the Personalized communication service.

In Settings in Message templates, you can create several templates for rejections and insert what we call tags into the text, which will ensure that Teamio automatically fills in the candidate's name and the vacancy they responded to for bulk rejections. Making the e-mail appear more personal.

Then, for example, in the Response summary, you just need to select the candidates you want to reject, choose a template, and send the rejection e-mail to all these candidates at once.
