1. Access the Dashboard
Select Applicants from the menu bar. You must authorize applicant data from ERAS for your dashboard to be fully functional. See Authorizing Applicants from ERAS to Thalamus Core.
2. Review Applicant Statistics
The Applicant Statistics box displays bar graphs that track your applicant data:
Selected: Number of applicants selected for other functions on the dashboard
Self-identification: Number of applicants by sex or gender currently uploaded to your dashboard
Tier 1/2/3 and No Tier: Total number of applicants in each tier or no tier
Scheduling Groups: Total number of applicants in each scheduling group
Multiple Groups: Applicants who have more than one scheduling group assigned
No Group: Applicants who have yet to be assigned a scheduling group
Program customized groups: Scheduling groups set up by your program
The Interview Status graphs display the number of applicants who have reached each stage of the process:
Total applicants: Number of applicants uploaded
Not invited: Applicants uploaded but not yet invited to interview
Invited: Applicants invited to interview but who have not yet scheduled
Withdrawn: Applicants invited to interview and then withdrawn from further consideration
Waitlisted: Applicants signed up for one or more waitlist positions but not scheduled for an interview date
Scheduled: Applicants scheduled to interview, either automatically by the applicant or manually by a program user, who have not yet attended
Canceled: Applicants who scheduled and then canceled their interview
Completed: Applicants who scheduled and attended their interview
Missed: Applicants who scheduled and then missed their interview date ("No Shows")
3. Use the Toolbar
The dashboard toolbar includes the following tools:
+ Import: Import applicants from a CSV file (non-ERAS programs only)
Search: Find applicants by name, AAMC ID#, email address, and other fields. Select Reset to restore the full applicant list
Export: Export applicant data to Excel or CSV, with comma-, semicolon-, or tab-delimited options. See Running/Exporting a Report from Your Applicant Dashboard
Rows: Set the number of applicants displayed per page by typing a number, selecting a value from the drop-down, or using the up and down arrows
Records/Selected counter: Shows the total number of applicants uploaded and the total number currently selected
Actions: Assign tiers or scheduling groups, invite applicants to interview, manually schedule or cancel applicants, send templates and emails, score applicants, and create print pages
Filter: Open the filter module (see section 4 below)
Gear: Select Change Table Columns to choose which fields appear on your dashboard. See Customizing Table Columns on Your Applicant Dashboard
Note: Once applicant data has been uploaded to your dashboard, additional tools will appear on the applicant table, including the select box, column sorter, single applicant selector, applicant display count, and page sorter. These are described in section 5 below.
4. Filter Applicants
Select Filter to open the filter module
Select one or more items across Interview Status, Tiers, and Scheduling Groups
Select one option from the Tags, Division Preference, Preference Signal, or Setting Preference drop-downs, if needed
Use the Event drop-down to filter by a specific event
Use the Track(s) Applied by Applicant drop-down to filter by track
Select the teal Add button to apply an Advanced Filter, then choose the data to filter from the drop-down that appears; repeat for each additional advanced filter
Select Apply Filters once you have added all your filters
To remove all filters you have added, select Clear All Filters. To abandon the operation at any time, select Cancel.
Once filters are applied, a pill will appear on the dashboard for each filter. To clear an individual filter, select the X on that filter's pill.
Note: Filters may be applied to sort data as needed. If a filter is applied before exporting, the resulting CSV or Excel file will contain only the filtered data.
5. Use the Applicant Table
Once applicant data is uploaded, the following tools will appear on the applicant table:
Select box: Select applicants in bulk:
All selects every applicant on the dashboard
Full Page selects every applicant on the current page
None deselects all applicants
Column sorter: Select a teal column heading to sort rows by that column's values, in ascending or descending order
Single applicant selector: Select the checkbox next to an applicant to select that applicant individually
Applicant display count: Shows the number of applicant records currently displayed
Page sorter: Use Previous, Next, or an individual page number to move between pages of applicants
