Editing Applicant Data

Edit an applicant's data from the Applicant Dashboard within Thalamus.


1. Who can edit applicant data

Note: Institutions and programs using ERAS PDWS can hide specific application data fields from reviewers. These fields will appear as Screened in Cortex and Thalamus Core. To change which fields are screened, programs or institutions must update their settings directly in ERAS PDWS. Changes will automatically update in Thalamus products. Data screened in ERAS PDWS will not appear in Thalamus products.

This feature is only available to users with the following roles:

  • Program Director

  • Program Coordinator

  • Program Administrator

Note: These roles can only edit data for applicants who were manually imported into Thalamus Core. Applicants authorized into Thalamus Core via the ERAS PDWS automated transfer cannot have their applicant data edited.


2. Access the Applicant Data Editor

  1. Select Applicants at the top of the screen

  2. Locate the applicant you want to edit

  3. Select the three-dot menu next to the applicant's name

  4. Select Edit Applicant Data from the menu

3. Edit Applicant Fields

Applicant Fields will be expanded by default. Select the up/down arrow to the right of any other section header to expand or collapse it.

Note: All identifying details except the AAMC ID are available to edit. Any grayed-out fields are not available to edit.


4. Save or Discard Your Changes

Once you've made your changes, select the teal Complete button. Select the white Close button if you no longer want to save your changes.

Note: If you re-upload documents to the application afterward, any manual changes you've made will not be overwritten.
