Create Additional Rank Lists

Create and manage multiple Rank Lists within a single program using Additional Rank Lists.

1. How additional rank lists differ from the default rank list

Important: Additional rank lists have different settings than the default rank list. Review this information and the steps below carefully before creating additional lists.

  • Applicants are not automatically added to additional rank lists, unlike the default rank list

  • Additional rank lists do not need applicants assigned at the time of creation. Applicants can be assigned at a later date

  • Recalculating a rank list will re-rank every applicant on that list

  • New applicants can be added to a rank list without changing the order of previously ranked applicants

  • Creating an additional rank list does not affect the Default rank list. The Match Rank List feature in Cerebellum will only populate with matched applicants from the Default list

A program can create up to 9 additional rank lists.


2. Minimum requirements

  • The Default rank list must contain at least one applicant

  • An applicant must have at least one overall score

Note: Once an applicant has an overall score, they will automatically be placed on the Default rank list.


3. Create an additional rank list

  1. In the upper menu bar, select Rank List

  2. Select the + icon next to your rank list tabs to open the Rank List wizard

Step 1: Rank list details

  1. Enter a name for the rank list in the Name field (required)

  2. Add a description in the Description field (optional)

  3. Customize the color of the rank list tab (optional)

  4. Select Next

Note: The rank list color will also appear as a color icon next to the applicant's name.

Step 2: Assign by scheduling group or tag (optional)

If no applicants have a scheduling group or tag assigned, select Next to skip this step.

You must have at least one tag or scheduling group created and assigned to an applicant to use this step. For more information, see Tagging Applicants in your Applicant Dashboard and Assigning Scheduling Groups on your Applicant Dashboard.

  1. Select the down arrow to the right of the field you want to populate. You can choose Scheduling Groups, Tags, or both

  2. Select one or more scheduling group or tag names

  3. Select Next

Note: The number of applicants selected will be listed on the screen.

Step 3: Assign by applicant name (optional)

Note: Only applicants who have been assigned an overall score will appear in the drop-down. Applicants without an overall score can be added later, once a score is assigned.

  1. Select the down arrow in the Applicant(s) field

  2. Select one or more applicant names, or use the search bar to find an applicant

  3. Select Next

Step 4: Rank list preview

  1. Review the applicants selected in the previous steps

  2. Select Back to make changes to a prior step

  3. Select Confirm to create the rank list

Note: Applicant photos can be blinded on the rank list by disabling the Show Applicant Photos toggle.


4. Recalculate or reorder an additional rank list

Once created, the rank list will display in a new tab with the assigned name, description, and color.

  • Applicants are ordered alphabetically

  • Applicant ranks are set to Manual

Once all applicants have been assigned, the rank list can be reset to reorder every applicant rank by overall score.

  1. Select the gear icon in the upper right-hand corner of the rank list

  2. Select Reset Ranks to reorder all applicant ranks by overall score

Note: Resetting an additional rank list will reset every applicant's rank within that list. If an applicant is assigned to multiple lists, no other rank lists will be affected.

When new applicants are added to a rank list, they will appear at the bottom of the list in alphabetical order. Select Reset Ranks to reorder all applicants by score. Once reset, applicants will be placed in rank order automatically by their overall score total.


5. Change the order of rank lists

To change the order of the rank lists, select and drag the tab with the rank list name to the desired position.


6. Identify additional rank list applicants on the default rank list

When viewing applicants on the Default rank list, any applicant assigned to an additional rank list will display a colored circle under their name. Hover over the circle to view the name of the additional rank list and the applicant's current rank on that list.
