1. Access the rank list
Select Rank List from the upper menu bar
The Applicant Rank List will appear, listing applicants in rank order by overall score
Note: Only applicants who have been assigned an Overall Score in Thalamus Core will appear on the rank list. A Thalamus Core scorecard must be used for the Overall Score to affect the applicant's rank. As additional applicants are assigned an Overall Score in Core, they will be added to the default rank list.
2. Navigate and filter the rank list
Search for a candidate by typing the name or AAMC ID of the applicant
Jump to a rank number by typing the number into the field
Filter applicants who interviewed on a specific day by selecting the event date
Select Reset to clear all search fields (this will not reset applicant ranks)
Use the dropdown to the right of Reset to filter applicants by All, Bookmarked, or Not Ranked
Toggle between List View and Tile Card View
3. Automatic vs. manual ranking
The Applicant Rank List assigns ranks to applicants using two methods:
Automatic: Applicants are arranged in order of their total average overall score, with the highest-scoring applicant ranked #1
Manual: Allows you to override the automatic rank and reorder an applicant to a different rank
Note: When an applicant is assigned a manual rank, that rank number will remain fixed until the applicant is assigned another manual rank or reset to automatic ranking. Only applicants set to Automatic Rank will move when other applicant ranks change. For greater control over rank order, we recommend switching all applicant ranks to manual.
By default, applicants are set to Automatic Rank and placed in order based on their total Overall Score in Thalamus Core. You can change an applicant's rank manually or by dragging and dropping.
Set a manual rank
Select the applicant's Rank number
The applicant drawer will open on the right side of your screen
Scroll to the Application Rank section at the bottom of the drawer
Select Set manually
Type the rank number or use the up and down arrows to choose the rank
The applicant will now be set as Manual Rank at the number you assigned.
Note: The applicant will remain at this rank number unless manually changed again. The rank will not move automatically based on other applicant rank changes.
The rank list will auto-save each time an applicant's rank is modified. A manual rank will display a teal M next to the applicant's rank number, along with a confirmation message.
Example: How a manual rank affects the list
Annette Occipital was originally set to Automatic Rank and ranked #2. She was then assigned to Manual Rank at #4. As a result:
Annette Occipital moved from rank #2 to #4 after being manually assigned
Gladys Pons, previously manually assigned to rank #3, did not move
Raymond Temporal moved from rank #4 to #2, since this applicant was next in line under Automatic Rank
4. Rank applicants with drag and drop
Drag and drop an applicant to a new rank in either List View or Tile Card View.
5. Access applicant scores and notes
Select the Overall Score number to open the drawer to the Scoring section, where you can view program users who input scores and other score-related information
Select the Notes icon to open the drawer to the Notes section to view and edit applicant notes
6. Change an applicant's rank status
There are three rank status options in Thalamus, including Do Not Rank. Applicants marked Do Not Rank will still appear on your rank list, marked DNR, but will not occupy a numerical spot on the list.
On the Applicants tab
Select the Applicants tab at the top of your screen
Locate the applicant you want to update
Select the ... menu next to the applicant's name
Select Change Rank Status
The applicant drawer will open. Scroll to the Applicant Rank section
Select Do Not Rank, then select Save
The applicant will now display as DNR on your rank list.
On the Rank List
Select the Score tab at the top of your screen, then select Applicant Rank List from the dropdown
Select the applicant's rank number to open the drawer to the Application Rank section
Select Do Not Rank
The Change Rank Status modal will open. Select Confirm to mark the applicant as DNR, or select Cancel to return to the drawer
The applicant will now be set as DNR on your rank list.
Note: Changes will auto-save each time an applicant rank is modified.
7. View the applicant rank panel and scoring
Select the details icon next to an applicant to open the Applicant Rank Panel in the drawer.
From the Rank Panel, you can review:
Applicant photo (if uploaded)
Current rank
Applicant-specific details, customized through Roster Layouts
From the drawer, you can also:
Move to the next applicant
Bookmark the applicant
The Scoring section of the drawer allows you to view, edit, and complete scorecards, view aggregate scores, and compare scorecards by type across multiple interviewers for the same applicant.
Select a scorecard type to highlight it in teal and populate the scorecard below. You can complete a scorecard for yourself or for another user by selecting the reviewer from the dropdown menu. Select View Scores to display scores entered for that scorecard.
You can export an applicant's scores to an Excel file from the Score Administration tab by selecting Export Scores.
Note: To customize the Rank Panel roster layout, see our Customizing Roster Layouts guide.
8. Bookmark applicants
Bookmark applicants from the rank list or the applicant drawer to highlight and filter them more easily.
From the rank list, select the Bookmark icon on the applicant's row. If bookmarked, the flag will appear orange
From the Rank Panel, select the Details icon on the applicant's row, then select the bookmark icon in the drawer
To filter bookmarked applicants, return to the Applicant Rank List and select Bookmarked from the filter dropdown.
