Toast Payroll: Missing Positions in the Reports To Position Field

Why is a position missing from the Reports To Position drop-down field on an employee's Position Detail page?


Answer

A position will appear in the Reports To Position drop-down field only if its default security role is Manager level or higher. To check/update this:

  1. Navigate to Settings > General Setup > Position > Position Setup.

  2. From there, select Update in the drop-down menu at the very top. Even though you may not be updating a position, this allows you to view its details.

  3. Now select the position Name.

  4. Select Next and here you'll see the default security role for this position. If you change this field, it will apply to every user assigned to this position and change their access to parts of Toast Payroll, so be careful.

  5. Now that you've checked the security role of a position, you'll know if it should appear in the Reports To Position field of an employee's Position Detail page on their profile (employee profile > Position > Edit). Consider the following:

    1. An employee is not able to report to their own position. For example, if John Smith has the position Manager, the Manager position will not appear as an option in the Reports to Position field on John's position detail page.

    2. Once the Reports To Position field is selected, the Reports To Employee field will then populate with every individual who is assigned that position. For example, if the Management Salary position is selected as the Reports to Position, all employees that have been assigned the Management Salary position will then be available for selection in the Reports To Employee drop-down menu.
