Managing Guests in Leagues/Events

If you have guests who sometimes play in your league, this article will help you fully understand how to manage them. This article will cover the details of managing guests in your weekly leagues. Setting up the Round Signup option for Guests

You have complete control of allowing guests for rounds if using Round Signups.

If you need to manage guest round signup for all future rounds in a league, Go to League > League Profile > Rounds and Scheduling and find the section for Round Signups (as shown below).

If you allow guests to play only a few rounds in the season, go to Rounds > Round Signup Center > General Settings. Find the section for Round Signups and make the adjustments there.

When you (a manager) or player adds a guest to the round, that guest will only be added to the Round Player Roster for that specific round. They will not be added to any statistics or analytics, and you will have complete control over what round tournaments, divisions, flights, and teams this guest plays in. This is useful if the guest is subbing for a missing player on a team, or perhaps your league only allows guests to compete in certain games (e.g., skins games).

How Players Add Guests during Round Signups

When your member logs in to access a League Portal and signs up for a round, they will be prompted to add a guest (or multiple guests if allowed). If a guest has previously played with the league, they can add a guest who has previously played.

If your member answers an email Round Invite and clicks on "Playing/Not Playing" for a round, they will then be taken to the portal and will have the option to add guest(s) (as shown below).

As you can see in the screenshot above, once they click on "Add another guests," they can complete the signup form for at least one (1) guest. Of the league allows them to add more guest, they can click "Add another guest" and repeat the process.ding a guest, your members can also select the guest to "Play with Host." By doing this, the guest will be included in the same pairing group as the member when using the Automatic Scheduler to create pairings.

How Managers Add Guests during Round Signups

It's effortless for you (a manager) to add guests as well (as shown below).

To add guest(s) to a round, follow these instructions:

  1. Go to Rounds > Round Player Roster > Manage Guests > Add Guests.

  2. Select the member who brings the guest(s),

  3. Select the type of guest:

    1. Sign up a guest who played before: Select this method if a guest has played in a previous round and you wish to use that guest again. If using this method, select the existing guest from the dropdown.

    2. Sign up a guest who did not play in this league before: Select this method if you are adding a guest or multiple guests who have not played in a previous round. If using this method, select the number of guests to add and fill in the guest details (e.g., First Name, Last Name, Index).

  4. Select "Play with Host" if you'd like the guests to be in the same pairing group as the member when using the Automatic Scheduler to create pairings.

  5. Check the box to confirm you are authorized to add the guest and click "Save."

Converting Guests to Members

In some instances, you may want to convert a guest to a member. A good example is that you have a member-guest event, and the guest ends up joining the league. In this case, you may have already captured details about the guest when they were registered, so it would be best to convert them to a member.

To convert a guest to a member, follow these instructions:

  1. Go to Golfers > League/Event Roster.

  2. Search for the guest's name.

  3. Use the action dropdown and select "Add to League/Event."

Other Information on Managing Guests

Round Roster:

For your convenience, when you hover over a guest's name on the round player roster, you will see who the host is for that guest. If the host requested to be paired with that guest, you see a note when hovering over the guest.

Managing Round Division/Flights/Teams:

When managing the round divisions/flights/teams, the guests will always be highlighted in green for your convenience. It is also important to know that guests will automatically be added to any division that their host is playing in. If you'd prefer that a guest not play in the same division(s) that the host is playing in, you can remove that guest by clicking "edit membership" for that division.
