Round Roster (Round Player Roster)

In this article, we will talk about the Round Player Roster and the following items to help you manage your players (members and guests) within a specific round of an event/league:

  • Round Player Roster Page View

  • Change player round statuses (attending, not attending, waitlisted)

  • View Round Custom Fields Answers (Premium and Association Customers Only)

  • Add/Manage Guests for the round

  • View the Player Roster Log

  • Upload Confirmed Roster via Spreadsheet

  • Sort the Round Roster

  • Email players (general emails, round invitations, tee sheets)

To access the roster for a specific round, go to Rounds > Round Player Roster.

Round Player Roster Page View

The number of players (members and guests) you have in your Event/League Roster determines how this page may be viewed. This page may be viewed with the players grouped by status on one page or grouped by status in tabs.

When you have 60 or fewer players, players will be grouped by status in a stacked formation on one page (as shown below).

When you have 61 players or more, the players will be grouped by status in tabs (as shown below).

Changing Player Round Statuses

Players can have the following round statuses:

  1. Attending: Confirmed to play in the round and will be included in the pairings.

  2. Not Attending: Not attending the round and will not be included in the pairings.

  3. Invited but not yet responded: Email invitation sent using Round Signups, but has not responded to the invitation yet.

  4. Waitlisted: A player limit was set for Round Signups, and the player has been waitlisted.

For events, typically, every player on the event roster is "attending" every round within the event. However, leagues may only have a subset of players from the league roster playing in every round. For instance, a league with 100 members may only have 30-40 players that "attend" the round each week.

The round player roster will update as players respond to the invitation when using Round Signups.

You can also manually change player statuses by selecting the name(s), selecting the status in the "Action" dropdown, and clicking "Go."

Player Round Status Notes

  • You can have all players marked as "attending" or "not attending" for all rounds by default. This setting can be found in The "Rounds and Scheduling" tab in the Event/League Profile or Default Settings.

  • If using Round Signups, make sure all players have email addresses entered.

  • When players respond to an invitation, an asterisk (*) will be placed next to their name, identifying that they have answered the invitation and were not manually moved by a manager. The asterisk will disappear if a manager manually moves the player to another status.

  • If Round Payments are being collected, players who have not paid will have a red dollar sign next to their name. Players who have paid will have a green dollar sign.

Viewing Round Custom Fields (Premium and Association Customers Only)

When using Round Signups you can capture additional player information with Round Custom Fields. You can view the answers to these round custom fields by going to to Rounds > Round Player Roster > Round Custom Fields Answers (as shown below).

Note: If a manager moves a player from not attending to attending within the Round Player Roster, the round custom fields will not be populated, as seen above for Zackis Jack. If you are a manager and would like to move a player from not attending to attending and add round custom field data, you can visit the portal from the Apps Menu and complete their round signup.

If you would like these details in an export file for you to sort and review, you can also export them to excel. On this page, click "Export to Excel" and you will be able to review the round custom field data in an excel file (as shown below).

Adding/Managing Guests for the Round

For leagues, sometimes guests are invited to play. If you do not want them on your league roster but would like to add them to only a specific round, manually add round guests by clicking "Manage Guests." These guests will be available to be added to the tee sheet and competition only for that specific round. Click Here for more details on guests.

Viewing the Player Roster Log

The Player Roster Log (accessed on the top right) is an excellent resource for viewing round activity. Round activity can include:

  • Player signs up for the round.

  • Player declines a round invitation.

  • Manager changes a player's status.

  • Manager opens or closes signups.

  • Manager creates pairings.

  • Player is added or removed from pairings.

Uploading Confirmed Players via Spreadsheet

Instead of using Round Signups or manually marking players as "attending," you can optionally upload "attending" players for a round via spreadsheet. To do this, follow these instructions:

  1. Go to "Upload Confirmed Players."

  2. Select the upload mode:

    1. Mark all players in this round as not playing. Then mark all players in the spreadsheet as attending: Only players on the spreadsheet will be marked as "attending." Before the upload, players previously marked as "attending" will no longer be "attending."

    2. Add players on the spreadsheet to any players already confirmed: In addition to the players on the spreadsheet, players who were previously marked as "attending" before upload will be marked as "attending."

  3. Select the spreadsheet from your computer and upload it. See the example spreadsheet below.


    When compiling and uploading the spreadsheet, keep the following in mind:

    1. All we need is for you to upload a spreadsheet (in .xls format) with a unique identifier for each player (e.g., GHIN #, Member #). Uploading a spreadsheet with just names will not work because we must be able to identify each player by a specific and unique identifier.

    2. Other columns of information can be in the spreadsheet, but they will be ignored.

    3. The spreadsheet can only have one worksheet.

    4. Keep the spreadsheet simple. Images, merged cells, formulas, etc., may restrict the upload.

    5. A header (first) row must be included for each column.

  4. Match the unique identifier (e.g., Handicap ID, Member ID) spreadsheet column with the unique identifier in the event/league roster.

  5. Import the Spreadsheet.

Sorting the Round Roster

It is sometimes helpful to sort and view the round player roster using certain methods. Some examples would include:

  • Sorting players by Handicap Index

  • Sorting players by team

  • Sort by signup time (if using Round Signups

To do this, select the sort method in the "Sort by" dropdown on the top left. Players will then be sorted.


If you have created AB, ABC, ABCD, ABCDE, or ABCDEF pairings, you can view the players in their assigned area by sorting them by "Handicap Index." In the sequence above, we are sorting by the index for a round that has created foursomes by ABCD.

Emailing Players

Emailing all or some of your players can also be done in the Round Player Roster. Select the players you'd like to email, select "Send Email" in the "Action" dropdown, and click "Go."

When drafting an email, you can:

  • CC other managers.

  • CC other email addresses.

  • Enter the email subject.

  • Include the tee sRound Signup and Invitationsheet as an attachment or link. Keep in mind that if you make any changes to the tee sheet after sending the email, the linked tee sheet will update, but the attached tee sheet will not.

  • Send Round Invitations if using Round Signups. (Note: This only adds the playing/not playing button to the email.)

  • Enter a custom message in the body of the email.

Note: When the Round Player Roster view is tabbed, you will only be able to email players within a particular tab.
