Step-by-Step Guide: How to create a fridge and freezer temperature check

This guide applies to

Logit system with the Assets module and the Checks module.

Building fridges and freezers as assets and linking daily temperature records to them offers an effective approach to managing refrigeration.

1. Create fridges and freezers as assets

Create an asset group

  1. Go to Asset Group in the configure portal.

  2. Click Add Group to create 'Refrigeration' as Classification, and create 'Freezer' and 'Fridge' as Physical under 'Refrigeration'.

    • Classification is like the "big category" (e.g., equipment types).

    • Physical is a more specific "group" within that category where individual assets are created and tracked.

Create assets

  1. Go to Assets in the configure portal.

  2. Click Add Asset to create fridges and freezers. For example, to create a fridge for the kitchen, we enter the fridge name, select the kitchen location, assign the fridge to the kitchen department, and set the status to 'available'.

    ⚠️Once the type and the department are assigned, they cannot be altered!

  3. Click Create.

💡You can add multiple assets to an asset group.


2. Create a template

Create an asset group template

  1. Head over to Templates that can be found in the configuration (the cog icon on the right corner).

  2. Click Add Template.

  3. Name the template 'Temperature' and tick the Use in Asset Groups box.

  4. Hit Create.

  5. Head over to the Properties tab.

  6. Select Add Section to create a section.

  7. Click on Add Property to add a temperature question.

Apply the template to assets

  1. Go to Asset Groups and click on the 'Freezer'.

  2. Head to the Properties tab and click Add Section.

  3. Name the section 'Freezer Temperature', select the 'Temperature' template, and click Create.

  4. Click on '0 validations' and add a validation.

  5. Repeat the steps above to add the template to 'Fridge'.


3. Create a check

Create a form

  1. Go to the Form Library.

  2. Click on the Add Form button.

  3. Name the check '❄️Fridge and Freezer Temperature Check'

  4. Complete mandatory fields, including Name, Owner, and Department.

  5. Set form type to Location and leave Competed At set to default.

  6. Select the desired Completion Timestamps and Topics, and then click Create.

  7. Hover over the Questions tab.

  8. Click Add Section and select Asset Group Properties. Name the section 'Freezer Temperature,' select the 'Freezer' asset group, and choose the folding display.

  9. Click Link Property and link the temperature question to the section.

  10. Repeat the steps above to add the section for fridge temperature check.

  11. Go to the Setting tab and enable comment requirement on validation error, and then save.

Turn the form into a check

  1. Open the 3-dot menu within the form, and select Check.

  2. Complete the settings, such as owner, department, and completion level. Here we select the kitchen department and 'Kitchen' as the completion level.

    ⚠️Make sure the completed by level and the department align with the assets setting.

  3. Assign responsibilities, set up schedules, and customise the workflow.

  4. Click Create & Add more schedules if applicable.

  5. Click on the Add Schedule button to add additional schedules, and then save.

  6. Set up triggers if needed.

💡It takes the system 24 hours to generate a new added check automatically.


4. If my fridge or freezer is out of service

If your fridge or freezer is out of service, go to Assets, edit the unavailable fridge or freezer, and change the status from 'Available' to 'Unavailable.' The Reason box will then appear, allowing you to select a reason. After that, a temperature check will not be required for unavailable fridges or freezers in the check.
