We’re excited to roll out this week’s updates, which include the ability to create fuel surcharge tables, new invoice settings, and improvements to the driver profile.
1. Fuel Surcharge Tables Are Here! (Pro Tier) (Video)
You can now create and manage Fuel Surcharge Tables, giving you more control and automation in billing.
Build your own custom fuel surcharge table or pull from the EIA’s weekly fuel price database for specific regions.
Once created, you can link a fuel surcharge table to a customer rate table. When creating orders, fuel charges will automatically populate based on current rates, streamlining billing process.
2. Invoice Settings Updates (Video)
We’ve added two new settings under Settings > Invoicing Accounting to give you more flexibility in managing how invoices are created and numbered.
Default Invoice Send Behavior:
Choose whether the “Send Invoice” checkbox is selected by default after invoice creation.If enabled, invoices will be emailed immediately upon creation.
If disabled, invoices will be created but not emailed unless you manually check the box.
Enable Custom Invoice Prefixes:
Add prefixes to invoice numbers for better organization—especially helpful for carriers managing multiple divisions.Once enabled, each division can have its own invoice numbering format to improve tracking and reporting.
Note: These new invoice settings are only for carriers that are using Truckbase invoices, meaning you are not connected to a Quickbooks Online account.
3. Dispatch Warning Helper: New Conflict Warning (Video)
The Dispatch Warning Helper just got smarter.
You’ll now receive a warning if a driver, truck, or trailer is already assigned to another trip during the same time period.
This helps avoid double-booking and keeps your operations running smoothly.
4. Confidential Notes in Driver Profiles (Admins Only) (Video)
We’ve added a new Confidential Notes field in the Driver Profile, visible only to admin users.
Use this field for sensitive or private info like HR or safety-related details.
The general Notes section should be used for broader, non-sensitive comments.
Important: Any content that was previously entered into the general Notes section has been automatically migrated to Confidential Notes to preserve privacy. You can review and reclassify if needed.
5. Self-Serve Driver Import (Video)
You can now import driver data via CSV directly from the Drivers page.
Use the three-dot menu to access the import option and upload multiple driver records at once.
Great for adding multiple new drivers in quickly.
